An innovative luxury skincare brand is looking for a highly motivated Wholesale Operations Assistant to join its team in London for a 12-month maternity cover role.
As Wholesale Operations Assistant, you will be responsible for managing global wholesale customer orders, including distributors, ensuring accuracy and timely processing times.
An overview of your key responsibilities:
Oversee the end-to end process from order to final delivery.
Load customer orders into Sage via order forms or EDI based Customer Vendor Portals.
Send order confirmation and order response emails to the customer, updating any out-of-stock products and ETA dates of when they will become available to order.
Send orders to 3PL warehouse, and coordinate with couriers and shipping companies.
Take ownership of customer issues and follow problems through to resolution.
Deal with any returns/credits/debit notes raised for damages/shortages.
Analyse inventory reports and demand plans in order to identify risk and gaps in stock levels.
Contribute to maintaining customer price lists and order forms, i.e. price increases, new products, and discontinuations.
Contribute to running reports and analysing sales data.
Order management and execution of orders, to help drive sales to meet the company’s monthly sales target.
Take the lead on day-to-day account activity and respond to clients and their teams’ requests on time.
Our ideal candidate is a detail-oriented individual with 2-3 years of experience in wholesale operations or a similar field. Prior experience in the Health and Beauty industry is preferred. You should possess excellent Excel skills and proficiency in data analysis, modelling, and reporting. You should have a strong understanding of order processing, key account management, and tailoring services to meet specific customer needs. Experience managing relationships with third-party logistics providers and warehouses is a plus.
You should be comfortable reviewing large datasets to identify and solve problems. Proficiency in warehouse management systems like Sage X3 or SAP is essential. You will thrive in a fast-paced environment, working both independently and collaboratively as part of a team. Exceptional organisational skills, a keen eye for detail, and the ability to take ownership are crucial. Finally, a proactive mindset that anticipates and addresses potential issues is a key asset.
