Job Description
Wealth Planning Administrator
London
Up to £35k
Summary/Job Purpose
Provide administrative support to Wealth Planners to help to deliver good client outcomes. Work efficiently and effectively adhering to the Company’s processes within the compliance framework. Be the first point of contact with the Client Services team and product providers to deliver a first-class service to clients.
Provide additional support to the Wealth Planners by attending client meetings, dealing with any administrative work for clients and ensuring all client data provided is recorded on XPlan and any other associated systems. Process new business for clients in a timely manner, ensuring all information provided is accurately reflected in the application paperwork and any other associated systems are updated. Be a point of contact for clients where appropriate.
Role Responsibilities
Administrative Support
the Company’s documentation standards, demonstrating high standards of accuracy.
the Wealth Planner in submission of cases to the paraplanning team.
with finance queries including invoices, billing, WIP, commissions, etc.
accurate Service Agreements (where appropriate).
flexibility when supporting different key partners /stakeholders across the business.
Client Support
Support the Planner’s workflow by efficient co-ordination of central services such as paraplanning, valuations, business processing etc. Work collaboratively with colleagues to deliver good client outcomes.
Prepare and submit CDD and new account paperwork for client onboarding, following the Company’s AML process and procedures.

a first contact point for clients to handle general queries, escalating complex queries to the Planner, adapting your approach for clients in vulnerable circumstances.

Prepare letters of authority for signing.
Prepare client application forms in line with suitability report recommendations, ensuring they are actioned when returned by the client within business agreed timeframes and with accuracy.
Accurately create and maintain XPlan and any associated client records.
Ensure you follow all processes as required by the business.
Technical /Qualifications
Full understanding of the end-to-end Financial Planning process
Knowledge of Financial Planning products.
Systems/Internal Processes
MC Office/Outlook - Proficient in Word and Excel.
Experience of XPlan (Desired).
Experience of Voyant (Desired).
Regulatory
Awareness/Compliance
Understand the Regulatory and Compliance requirements and processes relevant for your role and follow them and escalate areas of concern or issue in a timely manner.
