Are you organised, able to work confidentiality with good attention to detail? If so, we have the perfect opportunity for you to make a meaningful impact as a Team Administrator for our Primary Care Transformation Team.We are looking for a highly motivated individual to join a small team providing and coordinating administrative and secretarial services for the Primary Care Transformation Team. You will be required to support the team with all areas of administration including diary management and minute taking.The post will involve some travel across the Nottinghamshire area.Main duties of the jobYou'll be responsible for providing comprehensive administrative support to the Primary Care Transformation Team, ensuring confidentiality and discretion are upheld at all times.Additionally, you'll offer personalized administrative assistance to the Primary Care Director and Heads of Primary Care Transformation, managing diaries, handling communications, and facilitating smooth operations.The Primary Care Transformation Team works with colleagues within the Integrated Care Board, the GP practices, Primary Care Networks and partners to sustain and improve primary care services for our population.At present, the majority of Primary Care Transformation Team work from home the majority of the time. We are required to reduce expenditure to sustainable levels (ICS 5-year strategic plan).The ambitions are great, but so are the opportunities to be part of our new and evolving organisation, to make positive impactful change to the health and social care agenda across Nottingham and Nottinghamshire.Detailed job description and main responsibilitiesProviding a comprehensive and confidential administrative and secretarial support service in accordance with the needs of the Primary Care Transformation Team.Providing provide personal administrative support to the Primary Care Director and Heads of Primary Care Transformation, including diary management, message management, opening and distribution of mail, operation of brought forward systems, dealing with telephone calls and enquiries, production of documents, as well as any other general administrative support services required such as photocopying, collating of documents and filing.Liaising with both internal staff and external organisations to enable effective and efficient communication.Arranging meetings and providing support services, such as booking venues, refreshments and equipment.Producing good quality, accurate and timely correspondence, presentations, reports, minutes, meeting notes, records and other documents from either written copy or audio tape, using appropriate IT software e.g. email, word processing, Excel, PowerPoint and other software packages. Meetings may be complex in nature and therefore advanced minute taking skills are required.Attending meetings, including some at locations away from the office base, in order to take minutes and provide other administrative support.Maintaining the team’s filing systems (electronic and paper), ensuring compatibility of files, easy access, making maximum use of shared information, electronic filing and software packages, and ensuring confidentiality of centrally stored documentation.Gathering and collating information for distribution.Researching documents / information using the Internet.Providing administrative support to the management of contracts.Planning and organisation of own time, making decisions on prioritisation of workload.Working with and liaising with other Team Administrators / PAs across the Nottingham and Nottinghamshire ICB to provide an effective network of communications including being flexible to cover other administrators’ general duties as required and appropriate.Implementing administrative and secretarial policies and proposing changes to working practice to effect improvement into the working area.Undertaking mandatory training and any necessary personal development to meet the objectives of the directorate.Person specificationKnowledge, Training and ExperiEducated to NVQ 3 level in a relevant subject or equivalent level of qualification or significant equivalent previous proven experienceSignificant administrative/ secretarial experience including initiating, maintaining and manipulating databases.Demonstrable experience in dealing with a variety of stakeholders and dealing with sensitive and confidential informationKnowledge of IT systems and software programmes such as Outlook, Word, Excel and PowerPoint.Understanding of Confidentiality and Data Protection ActKnowledge of NHS issues.Clear communicator with excellent writing, research, data, meeting administration and presentation skills: capable of constructing and delivering clear information/ instructions to staff and partnersAbility to work under pressure in a busy working environment and able to multi-taskEffective team workingAdvanced minute taking skillsEquality and DiversityUnderstanding of and commitment to equality of opportunity and good working relationshipsAutonomyAbility to work without supervision and able to work on own initiative, organising and prioritising own and others workloads to changing and often tight deadlinesOtherAn ability to maintain confidentiality and trustReliable, professional, calm and efficient mannerCommitment to continuing professional developmentPositive and flexible approach to work Our communities are from all walks of life, so we are too.
