Job SummaryRole SummaryTo provide excellent administrative support where required.Key Responsibilities• Working closely with the Executive Assistant - PDO, providing administrative support.• Flexible working in London & Stevenage facilities on an ad hoc basis.• Event support: to assist in planning / coordination and “on the ground” support.• Arranging conference attendance, complex travel, and accommodation.• Producing high quality documents, reports, and presentations as required.• On-boarding new vendors and assisting with purchase orders and invoice payments.• Collate, check, reconcile expenses for the PDO Leadership Team, whilst maintaining a record of expenses each to assist with budget and planning.• To devise and maintain office systems, including data management and maintaining databases.• To assist with internal and external booking of meeting rooms, including room setup, catering, and AV for meetings, as required (this includes ordering catering for meetings).• To organise and book staff travel and accommodation.• Efficient and seamless complex diary management (including arranging diary appointments across different time-zones).• To oversee projects as required.• Flexible working in London & Stevenage facilities on an ad hoc basis.
