Our client is seeking a skilled Site Secretary to join their team in the North East. As one of the leading house builders in the region, they are dedicated to delivering high-quality homes and exceptional customer service.

Responsibilities:

  1. Administrative Support: Provide administrative assistance to the site management team, including organising meetings, managing calendars, and handling correspondence.

  2. Document Management: Maintain and update project documentation, including drawings, contracts, permits, and other relevant records. Ensure all documentation is accurately filed and easily accessible.

  3. Communication: Serve as a liaison between the site team, subcontractors, suppliers, and other stakeholders. Communicate project updates, schedules, and deadlines effectively to ensure smooth operations.

  4. Procurement Assistance: Assist in the procurement process by obtaining quotes, preparing purchase orders, and tracking deliveries. Collaborate with the procurement team to ensure timely and cost-effective procurement of materials and services.

  5. Health and Safety Compliance: Support the implementation and maintenance of health and safety protocols on the construction site. Assist in organising safety training sessions and ensuring compliance with regulatory requirements.

  6. Record Keeping: Maintain accurate records of site activities, including daily reports, meeting minutes, and incident reports. Assist in preparing progress reports for internal and external stakeholders.

  7. General Assistance: Provide general administrative support as needed, including photocopying, filing, and managing office supplies.

Requirements:

  • Previous experience in a similar administrative role, preferably in the construction or real estate industry.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software.
  • Excellent organisational and time management skills with the ability to prioritise tasks effectively.
  • Strong communication skills, both written and verbal, with the ability to interact professionally with various stakeholders.
  • Attention to detail and accuracy in record-keeping and documentation.
  • Knowledge of health and safety regulations and procedures is desirable.
  • Ability to work independently as well as part of a team in a dynamic environment.
  • Flexibility to adapt to changing priorities and deadlines.
  • A proactive and positive attitude with a willingness to learn and take on new challenges.
