The role works as part of the accounts team but with a strong link to the property management team, managing the end-to-end service charge process on a portfolio made up of residential, commercial and mixed-use properties.KEY DELIVERABLESManage the end-to-end service charge process for residential, commercial and mixed-use propertiesEnsure all year-end service charge reconciliations are completed within the 4-month RICS deadlineResponsible for billing all balancing charges/credits to tenantsResponsible for managing and maintaining the service charge control trackerLead on all internal service charge calls with the property and facility managersEnsure all service charge budgets are loaded to the property management system, TRAMPS, at least 6 weeks prior to the year end dateManage the transitions in/out process for all purchases, sales, and loss of managementProduce cash reconciliations for all service charge propertiesMain point of contact for the auditors on all service charge queriesEnsure section 20B forms are submitted on time to the residential tenantsLiaise with the relevant Property Managers on the portfolio, acting on and providing information in a timely mannerAttend meetings with clients when required and work with the clients to understand their needs, interpret their demands and respond as appropriateCalculation and compilation of completion statements, rent review calculations and interest rates applicableReview of property expenditure regularly and agreeing correctness with Property Manager or Site Manager and action the necessary amendmentsCompletion of annual and quarterly service charge reconciliations complete with balance sheet/cash analysis and extended trial balanceSix monthly service charge actual expenditure to budgeted reporting, detailing any variances and reporting to clients/tenantsReview, recommendations & posting of prepayments and accruals at the service charge year endRequirementsMinimum GCSE level including maths and EnglishAAT or equivalent (desirable)Comprehensive and demonstrable service charge accounting experienceExperience working with TRAMPS property management system would be preferred but not essentialKnowledge of how to close year ends and demand balancing service chargesAbility to reconcile service charges and prepare service charge cash reconciliationsStrong written and verbal communications and interpersonal skillsUnderstanding of general VAT accounting laws and requirementsUnderstanding of the application of VAT in commercial propertyAdvanced excel skillsHybrid working - to give you the flexibility you needHolidays: 25 days increasing in line with length of service to a maximum of 30 daysEnhanced auto enrolment pension scheme - to help you save for the futureLife assurance - to protect your loved ones should the worst happenInterest free season ticket loansCycle to work scheme - discounted bicyclesFlu and eye care vouchers - to keep you healthyEmployee Assistance Programme - 24/7 health & wellbeing supportHelp@Hand Remote GP app - to give you and your family access to medical experts quicklyPlatform hosting 1000s of discounts at your favourite retailers, restaurants, supermarkets, leisure & days out venues, gyms and moreFamily & wellbeing policy - including enhanced maternity pay, menopause support, neurodiversity support, carer support, company sick pay and much morePlus a Flexible benefits policy that allows you to pick and choose additional benefits as below:Purchasing up to 5 days additional holidayDiscounted gym membershipDiscounted private medical insuranceDiscounted critical health insurance and more
