Job Title: Senior Pensions Administrator
Location: Kingston Head Office
JOB PURPOSE
UNILEVER UK & Ireland PENSIONS (UUKP)
UUKP is a friendly team that believes in supporting and helping each other and that values getting things right. UUKP is responsible for providing expert pension services for Unilever's UK pension arrangements and some of the Irish pension arrangements which includes:
A large hybrid UK registered pension scheme with four sections. There are around 72,000 members in the main sections and the value of assets is approximated £7.5bn. One section of the scheme provides executive benefits to around 160 members. The Trustee of this pension scheme is a trustee company with 11 directors. A small section 615 scheme (for overseas service) with assets of around £155 million and around 715 members. The Trustees of this pension scheme are a trustee company with 3 directors and The Law Debenture Pension Trust Corporation plc. A closed defined benefit (final salary) Irish arrangement, circa €300m assets A number of UK and Irish company unfunded arrangements, circa £200m liabilities The Pensions Expert Administration Team (EAT):
Provides internal benefit administration services (e.g. retirement quotations, benefits establishment, dealing with members etc) in respect of those members where their administration has not been outsourced. These are the most complicated benefits to administer, e.g. where there are multiple sources of benefit, senior executive arrangements, complicated tax matters etc, Oversees, assists and holds to account the Trustees' outsourced pension administrators, currently Capita and Fidelity, Oversees, assists and holds to account the other internal teams and other outsourced HR/ service delivery providers (e.g. payroll) to ensure the smooth delivery of end to end pension administration processes, Deliver member services, e.g. pension counselling Unilever is the place where you can bring your purpose to life with the work that you do - creating a better business and a better world. RESPONSIBILITIES
The Expert Admin Team helps employees to understand their Unilever pension arrangements, the decisions they have to make whilst building up that pension and ultimately to help members to draw their Unilever Pension benefits at the right time.
Service Delivery
Attend service review meetings with providers and Pensions Service Delivery Manager, holding providers and Company contacts to account. Monitor service delivery performance and member feedback. Oversee implementation of agreed service improvements. Oversee and monitor information flows between service providers. Mediate between providers where necessary. Proactively own queries/issues between service providers. Resolve and/or refer to UK Pensions Team Leader / Pensions Service Delivery Manager for sign-off. Manage individual member change processes and raise Change Requests / tickets for Service Provider work required outside of the agreed contract. Manage and monitor progress through to completion ensuring that that change is implemented successfully and delivering expected results, i.e. holding relevant provider to account. Project management: - Ownership and accountability for regular / ad hoc project activity including management of providers and budget management. Monitor Company/member contribution processes. Calculate and check contributions against expected results. Drive resolutions and manage providers where required to correct contributions issues and process the disinvestment of units. Be responsible for maintaining the contribution test pack for testing relevant scenarios for any pension specific payroll and HR changes. Maintain Pension contribution payroll specification and pro-actively driving changes required. Monitor and resolve Payroll/HR Pension Issues through ad-hoc and regular review meetings/conference calls with providers. Assist in drafting and deliver presentations and training and member counselling as required at UK sites Active Retirements Member Administration
Responsibility for owning the Active retirement process and to be the point of contact for Active members who are considering retirement and for Company contacts. "Special Cases" Member Administration
Administration of members including pro-active monitoring against annual allowance and lifetime allowance. Production of correspondence to members including e mail contact. Administration of Uniac members settling retirement and death benefits. Administration of International Assignees. Maintain and update Internal Dispute Resolution log (IDR). UCARBS - Review of Finance employer cost for Payroll Prepare and sign off membership statistics Fund documentation and related
Maintain fund history documents Maintain Whistle blowing log and undertake initial assessment on reporting breach cases to Regulator Complete annual review of contribution earning bands & pension increases Complete Administration Sections Scheme Return Sarbox Process Ownership of Sarbox Unilever Retirement Benefit process and documentation and evaluate the segregation of duties and access controls. Administration Manual
Maintain UK Pensions Administration manual. Liaise with process owners on regular basis to ensure processes are kept up to date. International Assignees Policy
Liaise with external departments and team members regarding any changes to policy in respect of IAs. Invoicing in respect of International Assignees
Own contribution schedules. Annual Renewal Event
Own key annual renewal tasks as required to ensure members have sufficient information to exercise annual contribution options Fund communications
UUKPF website
Ensure the website remains up to date with quarterly reviews of the site, and other ad-hoc interventions as appropriate. Work with the Communications Manager and third party supplier to deliver changes. Monitor the usage of the UUKPF website and report to the trustees as necessary. Member forms and other HR transactional communications
Work with the administration team & HR to ensure all member forms and other HR transactional communications remain compliant and up to date. MyReward updates and information
Work with the Communications and Pensions Service Delivery Managers to ensure pension updates on My Reward are accurate and up to date. HR adviser training and assessment
Ensure that the pensions module and the assessment piece for the ongoing HR adviser training remains up to date, in accordance with the timetable agreed with the UK policy manager. Trustee
Assist secretaries to the Board and Committee in preparation of meeting papers and actions following meetings. ALL ABOUT YOU
Experiences & Qualifications
They will likely be qualified to A level or degree level. They will hold or be working towards appropriate professional exams, e.g. Associate Membership of the Pensions Management Institute. Detailed knowledge of UK pensions legislation and best practice Experience (preferably at least five years) in a pensions service delivery /senior administrator / projects role SKILLS: WHAT YOU NEED TO SUCCEED

Recruitment Fraud
Cyber criminals advertise fake job adverts with prestigious employers as a way of stealing information or even defrauding individuals out of money. In the most sophisticated cases, they will set up fake websites, which have a similar address to companies like Unilever. They even conduct fake telephone interviews and then offer candidates a role with the proviso they pay a fee for background checks or to cover work visa costs. These types of attacks are becoming more common as more people are looking for employment in the economic climate.
How is Unilever tackling this?
Many of Unilever's recruitment sites publish a warning to candidates about recruitment fraud. The Cyber Security team also proactively scan for signs of people setting up fake Unilever sites and act to close them down.
What can I do?
