Job Description
The Maintenance Contract Coordinator is responsible for managing and overseeing maintenance contracts for company facilities and equipment. This role ensures that all maintenance services are performed to standard, within budget, and in compliance with contractual agreements. The Maintenance Contract Coordinator will liaise with service providers, internal departments, and clients to coordinate maintenance activities, resolve issues, and optimize contract performance.
Key Responsibilities:
Contract Management:
Develop, review, and manage maintenance contracts with vendors and service providers.
Ensure contracts comply with company policies, industry standards, and legal requirements.
Monitor contract execution to ensure compliance with terms and conditions
Coordination:
Serve as the primary point of contact for maintenance service providers.
Coordinate maintenance schedules and activities to minimise disruption to operations.
Maintenance Planning and Scheduling:
Plan and schedule routine and preventive maintenance activities.
Maintain a detailed maintenance calendar and track all scheduled activities.
Ensure all maintenance activities are performed on time and to standard.
Budget and Cost Control:
Monitor maintenance budgets and expenses, ensuring costs are within approved limits.
Review and approve invoices related to maintenance contracts.
Identify cost-saving opportunities.
Compliance and Reporting:
Ensure all maintenance activities comply with safety regulations and company policies.
Maintain accurate records of maintenance activities and contract performance.
Prepare and present regular reports on maintenance activities, contract status, and vendor performance.
Issue Resolution:
Address and resolve any issues or disputes related to maintenance services.
Implement corrective actions and follow up to ensure issues are resolved satisfactorily.
Communicate effectively with stakeholders to keep them informed of any issues and resolutions.
Qualifications:
Experience:
Minimum of 3-5 years of experience in contract coordination, facilities management, or a related field.
Proven experience in managing maintenance contracts and coordinating maintenance activities.
Skills:
Strong understanding of maintenance processes and contract management principles.
Excellent communication, negotiation, and interpersonal skills.
High attention to detail and strong organizational skills.
Ability to manage multiple priorities and work under pressure.
Proficiency in maintenance management software and Microsoft Office Suite.
Working Conditions:
This role typically involves working in an office environment with other contract personnel. Occasional travel may be required to meet with service providers or attend industry events.
Reporting Line:
The Maintenance Contract Coordinator will report to the Contract Manager and Directors.
