We’re a London-based climate tech startup working to reinvent carbon for a thriving planet. Since 2020, we have rapidly pioneered the world’s most versatile direct air capture (DAC) technology to recover historic CO₂ emissions from the atmosphere, anywhere at any scale. Backed by Breakthrough Energy Ventures, the XPRIZE foundation, Stripe, and the UK Government, we’ve moved a brand new climate technology from lab to commercial plants in under three years to rapidly empower carbon removal and sustainable utilisation.
We’re now looking for an exceptional Senior Executive Assistant to propel us forward — supporting our leadership team administratively and clerically, as we start to put our technology on the ground across the world.
About the role
As a Senior Executive Assistant, you will support the C-suite team with organising and maintaining their travel, schedules, and meetings, while also taking charge of office management to ensure our growing team has an effective environment to thrive in. Comfort with ambiguity, the ability to discern priorities, and having attention to detail are all enablers to do well in this role.
Sitting across functions, you will support both the C-suite team for key clerical duties (60%) and the Business Operations team, where you will be a key member responsible for the day-to-day management of our offices (40%). The role requires sensitivity to confidentiality and discretion when managing executives’ matters, comfort in a startup environment, appreciation for neurodiverse colleagues and a vision for building and maintaining a thriving office for Mission Zero’s growth journey.
Reporting to the COO for both your remits, you will also work closely with other members of the Business Operations team such as the Head of Finance & Operations, the Head of People, and the Facilities Manager, to fulfil your duties. The role will be primarily on-site for our headquarters in central London, with hybrid working being the preferred model.
What you'll be doing
Your overall objectives are to enable the C-suite to maximise their time spent working on critical activities that moves the company forward, and to elevate and maintain the Mission Zero workspace so the business runs effectively. This will entail:
Tracking, managing and optimising time-allocation through coordinating daily calendars of the C-suite team
Scheduling meetings and additionally coordinating weekly management team meetings (with minutes)
Managing expenses and travel arrangements
Managing and scheduling administrative tasks assigned to C-suite e.g. document signatures
Visitor arrangements
Support the CEO in planning, gathering inputs for, and communicating info about board meetings from/to stakeholders
Maintain, troubleshoot, and improve the office facilities (IT, AV, pantry, meeting spaces, stationery, general supplies) by working with key suppliers and contractors alongside the Business Operations team
Other duties that may be assigned to you inline with the role requirements
What you'll need to be successful
At least 5 years of prior experience as a senior executive assistant, executive administrative assistant, personal assistant, executive secretary, or similar senior administrative roles
At least 2 years of prior experience in office management and administration
Proficient in MS Office/Google Workspace and office management software
Familiarity with online calendars and communication tools (Google Calendar, Slack)
Familiarity with administrative procedures for expenses and travel
Comfort in dealing with senior management and external guests and third-parties
Strong communication skills with discretion, integrity, and time management
