Purpose of the role
The Receptionist is the first point of contact for visitors calling or visiting our client’s office and serves as a brand ambassador. You will have the opportunity to work in a progressive environment that promotes mentoring opportunities and career growth.
The ideal candidate will have previous experience in customer service and proficiency in Microsoft Office (Word and Excel).
A successful Receptionist should have a welcoming and pleasant personality, with the ability to easily build rapport with people. They should be able to deal with urgent tasks in a timely and effective manner, and the ability to multitask is important for this position. This role requires working in shifts, so flexibility is a plus. This is a hands-on role and will involve working alongside team members to deliver an overall exceptional service to our clients.
Key responsibilities
Greet clients and visitors to the office with warmth and professionalism. Notify employees of visitor’s arrival when necessary
Provide high level services to staff, clients and guests
Organising catering (hospitality) and assisting at events
Setting up meeting rooms and basic IT requests for client meetings
Diary management and planning, including meeting room bookings
Ensuring a warm and professional welcome for all clients and visitors
Sorting and distribution of incoming mail – scanning of all incoming documents using the in house post scanning software
Processing outgoing mail, including franking letters, organising couriers
Organising and storing the hard copy / original document post storage in line with the client procedures
Support with preparing documents – scanning, printing and binding
Ordering stationary supplies and catering
To be aware of the day-to-day Health and Safety requirements surrounding working area
To immediately raise any Health and Safety concerns to the manager
To participate in any on site Health and Safety audits or assessments
Assisting with other legal admin tasks when required
Support the Office Manager with any other ad-hoc requests
Attention to detail with an emphasis on accuracy and quality
Intermediate computer skills including Microsoft Word and Excel
Ability to prioritize work to balance multiple projects and deadlines
Excellent verbal and written communication skills
Self-motivated and the ability to multi-task
