Job Opportunity: Property and Services Officer (Permanent Position)

Location: Prestigious Grammar School in Buckinghamshire
Hours: 22.5 - 27.5 hours per week (negotiable, ideally covering 10:00 - 15:00, Monday - Friday)
Working Weeks: Term-time only (39 weeks per year)
Salary: Grade 3/4, plus generous pension scheme

Dunbar Education is delighted to present an exciting opportunity for a dedicated and meticulous Property and Services Officer to join a renowned grammar school on a permanent basis. This role is perfect for an organized and proactive individual committed to ensuring the smooth operation and safety of school facilities while maximizing lettings income.

Job Purpose
  • To support the Property & Services Manager in ensuring the effective management of Health and Safety at the school and the smooth running of school routines.
  • To maximize income for the school through the external letting of facilities while being sympathetic to the school's requirements on the school site.
Salary
  • Grade 3/4 (Starting salary commensurate with experience)
    • �14,109 - �16,244 pa (22.5 hours per week)
    • �17,246 - �19,854 pa (27.5 hours per week)
  • Plus access to a generous pension scheme

  • Between 22.5 - 27.5 hours (working hours negotiable, but ideally covering the period 10:00 - 15:00 Monday - Friday)

Principal Responsibility Areas

Key Tasks
A. Health and Safety
  • Support the Chief Financial and Strategy Officer, Director of Information and Operations, and Property & Services Manager in fulfilling their Health and Safety duties.
  • Administer and record the Premises Team's periodic site checks, including emergency lighting testing and legionella water temperature tests.
  • Highlight emerging issues from periodic checks to the Property & Services Manager and support prompt resolution.
  • Issue and collate departmental risk assessments, highlighting issues to the Property & Services Manager.
  • Assist with communication regarding health and safety matters to all staff.
  • Arrange for Electrical Equipment Testing and act as a Fire Marshal.
  • Support the administration and maintenance of Health and Safety staff training records, ensuring timely refreshers and up-to-date records.
B. External Lettings
  • Manage the customer booking service, providing prompt and friendly advice to encourage bookings.
  • Ensure hiring clubs and organizations meet safeguarding requirements.
  • Liaise with the Premises team for required site cover and with the Finance team for accurate invoicing.
  • Track facility availability and uptake, seeking opportunities to increase lettings while considering school requirements.
  • Act as budget holder for lettings and inform the CFSO of any budget variances.
C. Property and Services Administrative and System Duties
  • Coordinate booking of main hall, stage, and drama studio using the Room Booking System.
  • Administer the school's ticketing system, ensuring timely responses and communication.
  • Provide metrics on ticketing performance to the Director of Information and Operations.
  • Coordinate ordering for the department, liaising with contractors for repairs and servicing.
  • Organize auditing and stock taking of P&S and IT equipment, maintaining asset registers.
  • Provide administrative support for the Property & Services Manager.
D. Other Duties
  • Undertake appropriate professional development opportunities.
  • Assist in the invigilation of examinations at peak times.
  • Accompany students as an additional adult on educational visits as required.
  • Provide cover for other colleagues in the support staff team when required.
  • Undertake any other reasonable task required by the Headteacher or line manager.
  • Comply with policies and procedures relating to child protection, health, safety, welfare, security, confidentiality, and data protection, reporting any concerns to the appropriate person.
