We are currently hiring a Portfolio Support Officer. This is a new and exciting role which will help shape the way we work globally across Tunstall. This role offers hybrid working and will be based out of our Manchester offices.What will you be doing in this role?The Portfolio Support Officer will provide administrative support to the PMO function and to selected Projects or Programmes as required. This will include administration support for the Change Delivery Process incorporating the ’New Product Implementation’ (NPI) process ensuring all associated templates are maintained and updated and ensuring all documentation required for Projects and Programmes to pass through Gated control points have been produced, submitted and quality checked in a timely manner prior to each respective Gate. Good organisation skills, attention to detail and computer literacy are all key in this role. Required skills and experience Proven experience as a PSO. Experience and an ability to interact effectively with other PMO team members, project/programme managers and other key contacts primarily within Tunstall Technology Group (TTG) and Finance. Experience of working with project and programme managers to ensure key document templates are completed to a satisfactory level and submitted in a timely manner and for chasing on completion of actions. Knowledge and experience in the use of applications and packages to support and enable effective and efficient PMO activities including but not limited to Excel, Word and PowerPoint. Basic knowledge of Project Management and SAFe processes tools and best practice. Ability to analyse data and a focus on detail. Well organised and with good administration skills Ability to thrive in a fast-paced environment and to work under pressure. Required competencies Strong interpersonal skills and a good communicator. Strong administration and organisation skills. Solid understanding of Project Management practices and an awareness of SAFe. Attention to detail. Desirable skills and experience Experience of operating within the healthcare sector. Experience of operating within a combined hardware and software development environment. Some of your key day to day tasks will be… Change Delivery Process Administration including maintaining and updating relevant process flows, document templates and Standard Operating Procedures (SOP). Ensure all project and programme documentation required to fulfil Gated approvals are completed and submitted in a timely manner.
Ensure all Gate related documentation has been quality checked before distribution to stakeholders. Ensure all project & programme Change Control documentation is completed, submitted, reviewed, and distributed to appropriate recipients prior to approval meetings.
Maintain and book key PMO related meetings including but not limited to NPI Steering, Change Approval Board and PDP review meetings ensuring that meetings are booked sufficiently in advance to enable attendees to manage their diary commitments accordingly.
Collate and distribute materials for key PMO meetings ensuring completeness of materials and distribution in a timely manner ahead of the relevant meeting. Responsible for capturing and distributing any notes, minutes and actions arising from PMO meetings in an accurate, complete, and timely manner. Undertaking the same responsibilities for selected projects or programmes as directed by the PMO Manager.
Maintaining, at a Portfolio level, the Risks, Actions, Issues and Decisions logs and ensuring actions are progressed in a timely manner and that risks and issues are reviewed and updated on a regular basis. Undertaking the same responsibilities for selected projects or programmes as directed by the PMO Manager.
Undertaking any other administrative tasks for the PMO function as directed by the PMO Manager. Ensure data to support the Delivery Performance KPI’s are produced in a timely manner and responsible for ensuring regular KPI outputs are produced and communicated either through direct production of the KPI’s or through working with other PMO colleagues to produce KPI outputs.
