Our client, a rapidly growing, ambitious advertising agency that thrives on innovation and excellence, has an opening for an exceptional individual to join their team based in London Bridge as a Personal Assistant and Operations Manager on a 6 month maternity
cover contract.
The role will be a hybrid basis with 3 days in the office and 2 days working from home (Wednesday and Friday).
As the Personal Assistant and Operations Manager supporting the CEO and Chief Creative Officer your core duties will include:
Personal Assistant:
Provide high-level administrative support to the CEO and CCO.
Manage calendars, schedule appointments, and coordinate meetings. Acting as a gatekeeper of diaries and protecting time where possible.
Handling international travel arrangements and accommodation.
Assist in preparing creative decks and other documentation.
Act as a liaison between the leadership team and the wider agency.
Manage confidential and sensitive information with discretion.
Handle personal tasks and errands for the leadership team to ensure seamless operations.
Complete timesheets and expenses weekly.
Operations Manager:
Manage the day to day running of the office, with the support of our Office Manager who works 1 day a week.
Oversee the daily operations of the agency to ensure efficiency and effectiveness.
Implement and maintain office policies and procedures.
Coordinate office maintenance, supplies, and equipment.
Working with the Finance Director to budget and manage financial responsibilities related to office management.
IT set up for new joiners and off boarding for leavers.
Booking all agency travel and accommodation for production shoots.
HR:
Manage and oversee the agency’s HR operations, including recruitment, onboarding, and employee relations.
Manage all benefits for the agency including; administering pensions, managing holidays, working with the Finance Director for monthly payroll and working with our brokers on taxable benefits and our yearly renewals.
Foster a positive and inclusive work environment.
Acting as the main contact for freelance and responsible for freelance recruitment and booking extra resource hires.
Requirements:
Ideally you will have at least 2 years previous PA and Operations Management experience gained within the creative / advertising / marketing industries, with a familiarity with HR processes and best practices, with a good understanding of Google suite and
Microsoft programs.
