Revolution Beauty is looking for aPA & Office Manager to join our team. You will be responsible for the day-to-day management of the London office and undertaking all PA activities for the CEO and the Executive Team, including scheduling, agenda setting and attending key meetings, global diary management, responding to emails & calls and supporting with the day-to-day running of the business.You’ll be someone who embraces Revolutions dynamic culture of executing with speed and quality while thriving in an entrepreneurial environment and being comfortable with collaboration across all parts of the business.What you’ll do:
Full management of the CEO’s inbox, diary and meeting schedule.
Keeping track of important tasks and deadlines, updating CEO frequently Extensive and complex diary management across global time zones
Organise and schedule meetings - prepare
meeting agendas, perform research for meetings, and take minutes during
meetings
Liaise with internal and external parties to facilitate in person or virtual meetings (Auditors, shareholders, Media agency, etc)
Organise and support external events on behalf of the CEO and Senior Leadership team - Roadshows, Awaydays, Speaker events etc.
Compiling, formatting, editing, proofreading, and preparing
reports/presentations and correspondence for internal and external
sources. Be a credible ambassador for our Executive Team, building a strong
network to make things happen quickly and effectively. Responsible for overseeing all company travel, both domestic & international, including booking and arranging flights, hotels, visas and transfers
Process and keep track of CEO expenses
Manage relevant databases and filing systems Manage effective budget controls and
where possible to maximise savings
Monitor and approve invoices
Undertaking project management work as required by the business
Developing effective systems with the CEO to ensure the smooth running of the business
Effectively manage the London Office, liaising with landlord, general enquiries etc.
Maintain a strong working relationship with
other relevant departments What you’ll have:
A strong track record of supporting at Board level as an Assistant
with senior management and senior level clients
Be able to maintain composure in a fast paced, rapidly changing environment Ability to work at pace, juggling multiple priorities Ability to manage complex and highly confidential information
Comfortable working autonomously and across multiple tasks and reporting into
different project working teams and individuals
Numerate with the ability to present and analyse data
Team player with an agile and flexible approach
Excellent social skills, able to operate with diplomacy, tact and empathy
A high degree of personal organisation and self-management
Comfortable when working to tight deadlines, and able to turn work around within
a short time span where demands are liable to change at short notice;
Ability to think proactively and laterally to maximise opportunities to promote the
business
A general understanding of external and economic trends affecting the Beauty andRetail Sectors
