Job DescriptionThe client is an iconic events production agency located in London, collaborating with esteemed luxury brands worldwide. They seek a diligent, organized, and dedicated Operations Executive to support their team and assist the company's international expansion. The company occupies a prestigious space in the UK events industry, and they're now looking to be equally established overseas.Role Overview:The Operations Executive will offer comprehensive support to the team, particularly to the Director & Head of Events, in executing operational responsibilities vital for the smooth functioning of the business. Main duties include:Addressing office and operational requirements, coordinating with the IT support team.Ensuring the availability of appropriate templates and utilizing correct documents.Assisting in the client's global expansion efforts, ensuring the establishment of suitable processes and policies.Participating in the recruitment process by reviewing resumes and conducting initial interviews, managing the info & talent inboxes.Acting as a liaison with suppliers, facilitating site visits and meetings.Assisting in resource management within the team.Ensuring the availability of appropriate templates and utilizing correct documents.Collaborating with the Finance Manager to ensure timely invoicing of clients and reconciliation of projects.Exploring avenues for enhancing efficiency, including budgeting and expense management.Reviewing and updating policies to optimize operational efficiency.Monitoring progress towards sustainability objectives.Managing team holiday schedules.Performing administrative duties such as creating event codes and organizing SharePoint folders to maintain file organization.Coordinating travel arrangements and diary management for the Director & Head of Events.Candidate Profile:Minimum of 3 years' business support experience and a desire to keep developing in a business support capacity (Essential)Business support experience within the events sectorExceptional time management and organizational skills.Enthusiastic team player with a proactive attitude.Strong communication and presentation abilities.Positive and adaptable problem-solving approach.Proficient in Excel.Demonstrated ability to maintain confidentiality and discretion.Experience or interest in the luxury events industry is advantageous.Package Details:Full-time position with working hours from 9:00 to 18:00 at the Central London office. Company-provided computer and mobile phone.Discretionary bonus contingent on company performance and individual achievements.Annual leave entitlement increasing with time of service£35-38k basic salary
