About the role: Cellebrite seeks a well-organized, multi-tasker with excellent communication skills and an upbeat attitude Office Manager to support our Office in London. The role of Office Manager will be responsible for the day-to-day coordination of the Executive and other delegated Employee schedules, office management to support meetings with logistics and catering, for helping to arrange travel and other administrative duties as assigned. This Office Manager will be responsible for handling confidential information and maintaining professionalism in dealing with senior executives. Role responsibilities include managing multiple complex calendars, planning and organizing events of all sizes, and coordinating domestic and international travel. This candidate will help build a positive team environment and establish working relationships inside and outside of the EMEA group. The position will require the ability to use a high degree of tact and diplomacy in handling matters that are critical or confidential in nature. Additional responsibilities and opportunities exist to lead and support critical projects within the company. Responsibilities & Scope of Role: Provide Office Management Provide administrative support Ordering equipment, stationery and other consumables Manage communications with senior level internal and external customers. Meeting Management: Assist Executives in planning and executing meetings: manage invitations and correspondence select participants, draft meeting agendas, take meeting notes compile, file, and disseminate meeting documentation to participants. Coordinate, facilitate and provide support for various conferences, meetings, and events with a high degree of tact and diplomacy. Calendar Management: Efficiently manage a complex and frequently changing calendar, scheduling meetings, appointments, and travel arrangements while prioritizing conflicting demands and accommodating last-minute changes. Relationship Management: Build and maintain effective relationships with internal and external stakeholders, including executives, clients, and partners. Serve as a point of contact and represent Cellebrite professionally and diplomatically. Event Planning Assistance: For Visitors and Business Units, help with event planning Assist with critical projects such as creating PowerPoint presentations and excel spreadsheets for business meetings and other documents as required. Support metrics analysis, web maintenance and SharePoint coordination. Coordinate extensive travel for the Executives and designated staff through the travel coordinator Manage travel arrangements, expense reporting and procurement card reconciliation. Make decisions and use good judgement to prioritize and to negotiate when faced with competing demands. Other duties as requested. Requirements College degree: or 5 years related experience and/or training or equivalent combination of education and experience. Ability to organize a daily workload by priorities. Must have a proactive approach to problem-solving with strong decision-making skills. Ability to independently develop solutions. Skills/Knowledge: Excellent organizational skills Strong communications skills verbal & written. Advanced level proficiency in Microsoft Office applications: Word, Excel, PowerPoint, and Outlook. General knowledge of computer hardware and office equipment. The Office Manager must be professional, innovative, self-motivated, and able to juggle multiple tasks and prioritize them in a fast-paced environment.
