In this role, you will be instrumental in ensuring the efficient operation of a small but busy office environment. The ideal candidate will be proactive, able to work independently, and adept at managing schedules and coordinating various suppliers. You will also provide essential support to staff and visitors in a friendly and approachable manner.
Key Responsibilities:
Office
& reception Duties:
Reception/front door/office phone dutiesMeeting and greeting Handling incoming and outgoing postOverseeing health and safety protocolsCoordinating recycling effortsManaging building maintenanceBooking and organizing meetingsLeading ISO audits and compliance efforts
Travel Logistics:
Arranging flights, hotels, and visasHandling medical needs such as vaccinationsEnsuring compliance with entry requirements
Tender Team Support:
Updating and maintaining CVs and project sheetsHandling administrative requirements, including environmental policies and declarations
Resourcing Support:
Managing staff availability and calendarsCoordinating team events and handling disruptions (e.g., train strikes)Overseeing the recruitment process, including job postings, scheduling interviews, and organizing the interview process
Requirements:
Proven experience as an Office Manager, ideally in a professional services companyAbility to work independently and manage schedules efficientlyStrong organizational skills to coordinate various suppliersFriendly and approachable manner to support staff and visitorsProficiency in Microsoft Office packages
