For more information, visitwww.kekstcnc.com.To support our ever-growing team in London, we are hiring a fulltime Office Manager.About the Role:Workingin a fast-paced environment, based in Kekst CNC’s London office, thismultifaceted role involves Office Management in a dynamic workplace thatis experiencing high growth. Proactivity and a solutions-focused approach are criticalto be successful in this role. The role also requires excellent time management,organisational skills, and a friendly and approachable manner, as you will bethe go-to person in the office and will need to balance multiple competing demands.This role will involve working within the Central Support Team, alongside theteam of London Assistants, and closely with Finance, HR, IT and Marketing. Dueto the nature of the role, there is a requirement to be in the office four daysa week, with one day working from home (remote day dependant on officeobligations week on week). Main responsibilities:
Ensuring thatthe office runs smoothly and effectively at all times and being the first point of contact for office issues,suppliers, and staff.
Maintaininga tidy, clean and efficientoffice and ensuring office equipment is well stocked at all times.Beingresponsible for our database of subscriptions, ensuring renewals aretimely, negotiating rates and keeping costs within budget.
Assisting with on-boarding newstarters, including introductions, induction plans (in collaboration withHR) and IT-set up (incollaboration with IT).
Off-boardingof leavers, including ensuring equipment is returned, organisation ofgifts etc.
Working closely with management on any office projects or improvements, including relocation.
Working closely with our IT teams, including Kekst CNC support in London and Munich, as well as Publicis Groupe IT team. Helping to trouble shoot IT issues where possible.
Supporting the organisation of internal events, such as booking meeting spaces, arranging catering, office socials etc.
Proactively seeking to improve current internal processes.
Contributing to a positive office culture.
Maintaining a good relationship with building management and contacts.
Managingrelationships with internal and external suppliers.
Requirements:
Minimum of two years Office Management experience.
A self-starter who truly enjoys managing the office and proactively shares ideas on how to further develop it as well as the team culture.
Excellent communication skills, both written and verbal, since you will communicate internally and externally on behalf of the company.
Confident in managing projects such as office refurbishments / relocations.
Good numerical skills, since you will need to manage office costs.
Confidence with IT systems, and a readiness to assist colleagues with IT-related problems.
First-Aid and other H&S qualifications are beneficial, but not a requirement.
Ability to multitask in a fast-paced environment and willing to work with a rapidly changing set of priorities.
Strong attention to detail, can-do attitude and approachable manner.
Be able to demonstrate the right to work in the UK.
Working closely with the finance team to create PO’s, set up vendors and oversee office costs.
Providing administrative assistance such as binding, arranging couriers, booking taxis etc.
Responsible for maintaining and communicating office Health and Safety policies and procedures.
