Join our Admins Shared Service department as our new Office Manager and work with us to close the gap to a sustainable future.Your new roleAs our new Office Manager, yourrole will be providing ahighly professional,efficient, and effective service to UK head office.You will be responsible for creating an inspiring environment within the office where people can relax and deliver exceptional work and be the first port of call for our Exec team based in the London office. This role will deliver location support, facilities tasks, IT Support and HSEQ compliance to ensure the business can successfully deliver to its clients.Your key responsibilities will be:Focus on delivering a positive visitor experience, through welcoming clients, visitors, and contractors. Maintain correct visitor sign-in protocols and comply with health and safety and GDPR policies and proceduresAssist with the smooth running of the office, front of house, Meet & greet for visiting staff and guests, delivery excellent customer service / Interpersonal skillsAssist with the coordination of any onsite events/meetings – ensuring the setup of AV, Tele/Video conferencing facilities, catering & refreshments, IT assistance and other general requestsAssist with reporting and logging tickets through the appropriate Support Helpdesk on behalf of clients and visitors. Ensure matters are resolved in a timely manner. Liaise with FM Provider, cleaning operatives and PPM engineersBe the onsite liaison for new starter equipment set up, assist in the new starter induction process by conducting weekly new starter office tours (emergency exits etc)Manage stationery and consumable requirements for the office ensuring that cost savings are identified where possible. Kitchen duties / daily coffee machine maintenanceUsing our cloud-based accounting software (Maconomy) to log all purchases and input invoicesMaintain our auditable records and procedures on the company's systems, databases. Take responsibility for the visual standards of the site and ensure that correct/accurate information is displayed in all areas around the officeEnsure the office is a safe environment, coordinate monthly fire inspections, annual H & S Audits, CO2 readings, COSHH & uploading data. Daily monitoring of Fire Warden and First Aider complianceAssist with the provision of PPE and WFH kit for Ramboll employees. Dealing with incoming deliveries and outgoing post / couriersComplete daily, weekly, and monthly checks of the office environment to identify hazards, maintenance requirements, ensure IT equipment on desks is in good working order and encourage ALL employees to uphold the general tidiness of the officeSupport the Location Leader where required in the delivery of location specific activities. Develop office policies and procedures, and ensure they are implemented appropriately. Assist with office layout planning and office moves, and with managing and maintaining IT infrastructureAny other ad hoc duties to the business when requiredYour new teamYou will be part of our shared services department. The Location Support team report to the Location Support Manager and work to create a centre of excellence with consistent and standardised processes, workflow management and continuous improvement.
