An exciting opportunity has arisen for an Office Manager to join our support team. You will be responsible for ensuring the smooth running of the office, alongside overseeing and supporting essential office and facilities activities to ensure maximum efficiency. We’re looking for someone who loves interacting with people, is organised and has a keen attention to detail. About you As the Office Manager you will have some experience with working with people and organizing a variety of office related activities. What you'll do As the Office Manager you will be responsible for a variety of tasks.Some responsibilities are listed below:meet and greet visitors to the office and direct them appropriatelymaintain the front of house area and ensure it is kept clean, tidy and presentable at all timesanswer, screen and forward phone calls as appropriatehandle various business insurances policies to ensure appropriate cover is in place and policies are renewed on timeorganise company events, conferences, business travel and accommodationbuild positive relationships withinternal and external stakeholdersmaintain the condition of the building/office, and arrange for necessary repairsuse a range of software, including email, spreadsheets, databases, SharePoint and FreeAgentto ensure the efficient running of the businessmaintain online and paper files and records with effective filing systemssupport colleagues with various tasks including administrative and arranging catering for client meetingsdevelop facilities management and office operations budgets for review by the boardcarry out health and safety inductions and office tours with new staffreview and update health and safety policies and ensure they're observedconduct daily, weekly and monthly building checks including fire exits, fire extinguishers, smoke vents, emergency lights and office suppliesarrange regular testing of water, electrical equipment, fire extinguishers, smoke vents, and safety deviceshandle office contracts and ensure they are renewed on timemanage the fire risk assessment and subsequent mitigating actionsarrange first aid and fire warden training staff and monitor when certificates expirework with the finance officer to record office expenditure, review and approve invoices, and manage the budgetDid we mention that we offer flexible working which includes remote or hybrid.
