Full job description
Job Overview:
We are seeking a highly organized and detail-oriented Office Manager to join our team. As the Office Manager, you will be responsible for overseeing the day-to-day operations of our office and ensuring smooth functioning of administrative tasks. This is a key role that requires strong organizational skills, excellent communication abilities, and the ability to multitask effectively.
Responsibilities:
– Manage all administrative tasks, including but not limited to: filing, data entry, and document preparation
– Coordinate and schedule appointments, meetings, and events
– Answer phone calls and respond to emails in a professional and timely manner
– Maintain office supplies inventory and place orders when necessary
– Assist with human resources tasks such as onboarding new employees and maintaining employee records
-Advises on the handling of all correspondence and enquiries relating to accounts,
sales and statistical.
-Coordinate and schedule our services for corporate clients, including managing
reservations, meeting specific client requirements, and ensuring timely service.
-Manage the billing and invoicing process for corporate clients, ensuring accurate and timely invoicing and payment processing.
– Supervise and provide guidance to administrative staff
– Ensure compliance with company policies and procedures
– Handle sensitive information with confidentiality
– Perform basic bookkeeping tasks using QuickBooks or similar software
– Oversee office maintenance and coordinate repairs or maintenance services as needed
Requirements:
– 2 year experience in an office management or administrative role
– Strong organizational skills with the ability to prioritize tasks effectively
– Excellent written and verbal communication skills
– Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint)
– Knowledge of QuickBooks or similar accounting software is preferred
– Ability to work independently with minimal supervision
– Experience in supervising and managing a team is a plus
– Detail-oriented with strong problem-solving skills
– Ability to maintain confidentiality of sensitive information
– Strong interpersonal skills with the ability to communicate effectively at all levels
