Office and Facilities Manager
Inflexion is a leading mid-market Private Equity firm, investing in high growth, entrepreneurial businesses. Our funds invest across a variety of sectors from offices in London, Manchester, Amsterdam, Sweden, and Germany.
We currently have an excellent opportunity for an experienced facilities/office manager to join our growing team. You will lead our service-conscious front of house function whilst also providing office management services to our two offices in London. Whilst Inflexion offers hybrid working, due to the nature of the role we would expect this person to be office based at least four days per week.
The role will require someone to champion a first-class front of house service and high-quality office environment, alongside health and safety, and best practice for green initiatives. You will also take responsibility for several relationships with service providers and manage internal projects and processes.
You will continually review and improve the facilities services within the Company and drive third party vendors to provide innovative solutions to everyday problems that will enhance the staff experience in the workplace.
Your Duties:
Assist the Operations Partner in the day-to-day management of the reception and housekeeping team, including arrangement of any temporary cover.
Manage contracts and relationships with building maintenance companies, suppliers, and contractors (such as cleaners, security, photocopiers, hot water taps, coffee machines etc.), promoting alignment among office locations.
Work with building maintenance company to ensure health and safety standards are met and the health and safety audits are undertaken as required.
Oversee and maintain the maintenance of Inflexion’s offices, undertake regular inspections, and assist the Operations Partner with any refurbishments and relocations.
Oversee the ordering of stock for the London offices – stationery, perishables (fruit, milk, tea/coffee), crockery etc. and ensure stock levels are maintained effectively.
Provide cover for the front of house teams as required, and ensure that the offices are all in excellent working order.
Scheduling, maintenance, and adjustments of the aircon systems.
Management of fire evacuation plans and training of fire marshals.
Work alongside Operations Partner to ensure the office meets energy efficiency standards and champion green initiatives in the workplace.
Maintain the operations, reception and meeting room equipment manual and annual facilities budget.
Maintain and manage desk plans, moves, and booking processes through Condeco.
Management of security software system, Net2.
Admin of Inflexion’s Amazon account and approvals.
Your Skills and Experience:
Proven experience in facilities/office management within professional services.
Proven management experience.
Understanding of high-quality stakeholder engagement and customer service practices.
Experience of promoting HSE workplace behaviours.
Knowledge of managing third party contracts and building management and facilities management providers.
Excellent communication skills and the drive to independently run the function.
Proficiency in Microsoft Office.
