Office Administrator
Responsibility:The Office Administrator is based in the AVEX London office
The Office Administrator is responsible for assisting Finance and Management with the smooth operation of day-to-day activities within the office and providing administrative support to the wider team. You will also maintain supplies, general office tidiness, office equipment and assist with HR tasks. You will be the first point of contact for the office and set a high standard of professionalism for a great first impression.Job-related obligations:- Attending regular meetings in accordance with the AVEX consultation structure.- A representative and well-groomed appearance.- Maximum quality is pursued through personal contributions and a critical attitude.- Participation in relevant courses offered by AVEX. - Working in accordance with the standards and values applied by AVEX, such as CIPP.- Abiding by and actively promoting the prevailing procedures and working methods.
Duties:- Answering the main office phone calls, take messages, and direct inquiries to the appropriateperson- Greeting and welcoming visitors, clients, and employees with a friendly and professionaldemeanour- Secretarial support such diary management, correspondence, reporting, archiving, scheduling,and preparing visits, appointments, meetings and conferences- Other general administrative duties (for a named account), stationary orders, expensespreparation for submittal to Finance. - HR administration support inclusive of but not limited to interview records, new starterdocumentation, training records and annual leave requests.- Purchase of office supplies and project requirements as directed
- Managing supplier incoming invoices supporting the Finance team with any queries. - Liaising with Clients for payments and invoice queries, updating the in house portal with latestinformation.- Booking (business) travel/accommodation for colleagues- Maintaining the CRM and AX internal systemsRequired knowledge and skills:
- Completed higher professional or university education
- Administration experience or similar.
- At least One (1) year of work experience in a similar role in a prominent national or international
setting in the profit sector.
- A good knowledge of MS Office 365
- An excellent command of English, both verbally and in writing.
- Excellent communication skills, both verbally and in writing.
