We partner with leading public, private and philanthropic organizations, global and local, to catalyze innovation ecosystems for impact across emerging markets.About the RoleThe Manager, Executive Office is responsible for providing comprehensive support to BFA Global’s CEO and the Catalyst Fund’s Managing Partner (BFA Global’s impact VC fund), ensuring these executives can function optimally to deliver smooth operations, effective communication and strategic alignment. The ideal candidate will possess exceptional proactivity, outstanding writing and analytical skills, and a strong commitment to BFA Global’s mission. Additionally, discretion and trustworthiness are crucial for success in this role.Key Responsibilities:This position combines three areas of focus, all of which are equally important: administration, strategy & management, and business operations. For people specifically interested in program roles, please note that BFA Global has other available opportunities please apply for those here: AdministrationTravel and Calendar Management:Actively manage travel arrangements, including visas, booking flights, accommodations, and ground transportation.Maintain and organize calendar, efficiently scheduling meetings, appointments, and events.Email Management:Review and prioritize emails, handling routine responses and delegating or forwarding messages as appropriate.Ensure timely follow-up on important emails and flagging items requiring the CEO and Managing Partner’s attention.Strategy and ManagementDocument Review and Summarization:Review project-related documents, contracts, and reports, summarizing key points and recommend next steps.Draft responses to correspondence and prepare materials for presentations or meetings.Meeting Preparation and Follow-Up:Prepare agendas, briefing materials, and meeting presentations, ensuring the CEO or Managing Partner is well-prepared.Follow up on action items and decisions from meetings, take notes in meetings, track progress, and suggest strategic approaches.Social Media Management:Oversee the CEO’s and Managing Partner’s social media presence, posting updates and engaging with followers in their voice.Develop a strategy for social media content aligned with the CEO & Leadership team’s goals and values in coordination with the communications team.Business OperationsExpense Management:Assist with expense management using Expensify or similar tools.Collect and review expense reports to ensure compliance with company policies and guidelines on a monthly basis.Time Tracking and Harvest Management:Support the CEO and Managing Partner in managing their time and ensuring accurate time tracking using Harvest or similar tools on a weekly basis.Monitor and record project hours, task assignments, and progress updates.Finances, budget and planning:Review financials and budgets and approve minor expenses.Work with other operational teams to streamline reporting, focusing on priorities, threats and opportunities.Also, you will facilitate the Executive’s overall success by supporting non-business tasks as below:Non-Business Tasks:Handle personal tasks and errands, including calls, scheduling appointments, and other miscellaneous duties.Provide support for personal projects or initiatives as needed.Note: This job description emphasizes the critical attributes and responsibilities outlined in the profile. For the ideal candidate, chief of Staff positions could serve as a fast track to program leadership.A master’s degree in a field related to BFA work, including economics, finance, business, or management3-5 years of proven experience in a role demonstrating management responsibilities and requiring proactive problem-solvingStrong strategic thinking and analytical skills, with the ability to synthesize complex information and make data-driven decisionsExcellent communication and interpersonal skills, with the ability to build relationships and influence stakeholders at all levelsHigh level of integrity, professionalism, and discretion in handling confidential informationExceptional writing skills with the ability to craft clear, concise, and professional communicationsActive listening skills and the ability to anticipate the needs and preferencesDiscretion and trustworthiness in handling sensitive information and confidential mattersAdvanced proficiency in Microsoft Excel for data analysis and reportingHighly proactive and forward-thinking mindset, with the ability to anticipate challenges and opportunities.Strong organizational skills and attention to detail, capable of managing multiple priorities simultaneously.Flexibility to adapt to changing priorities and work in a fast-paced environmentHands-on experience residing and working in developing nationsHas worked in a US organization and understands American work culture: fast-paced, proactive and results-basedWillingness to travel and work hours that accommodate the team, which is based across various time zones from Colombia to IndiaSubject matter expertise or experience in relevant areas (e.g., Livelihoods, Climate, Financial Services)Anticipated Start Date: ImmediatePreferred location: Boston, U.S.; Delhi, India; London, U.K.; or Nairobi, Kenya.Candidates must have local work authorization. Compensation will be commensurate with experience.
