They support some of the world's most exciting and ambitious businesses and empower their people to deliver together in supportive teams committed to excellence and innovation.The company is seeking a proactive and experienced PA to provide support to allocated Partners and Legal Advisors. The successful candidate will be an integral part of the inclusive and fun team and will play a key role in delivering excellence and achieving team goals.Job RoleDiary management, acting proactively where possible and highlighting any diary clashesOrganising litigation files (predominantly electronically)Assistance with Court forms and CE-filingPreparing Court bundlesDealing with billing, issuing invoices and any related client queriesMonitoring the team's cash collection targets and pro-actively chasing clients for unpaid feesPreparation of draft emails and correspondence for approvalProducing / amending documentsUsing SAP to produce weekly performance reports for the teamOrganising meetings, travel arrangements, hotelsOpening and closing client files in line with best practiceUndertaking money laundering compliance on new client inceptionPreparation of expense claimsUpdating and maintaining the Interaction client relationship management database with relevant client contact detailsFinancial reports for clients and internal analysisEvent organisation for client and team eventsAbout YouPrevious PA experience in a similar role within legal, ideally with IP/Commercial/litigation or similar practice area experienceExperience of billing and organising litigation filesSelf-motivated and able to work without supervision and to a high standardExcellent knowledge of Microsoft applications - word, outlook, excel and PowerPointKnowledge of billing/time recording systems desirableKnowledge of e-filing desirableAttention to detail, especially when working with correspondence and documentationFlexible with the ability to adapt to change, new practices and cope under pressureThe ability to suggest new and better ways of working and implement new processesExcellent presentation skills reflected in their workA methodical and organised approach with keen attention paid to every detailGood organisational skills to ensure that tasks are effectively scheduled within working time available, and that urgent work is completed and returned within the specified timescalesFriendly and helpful approach to dealing with queriesExcellent communication skills and telephone mannerAbility to prioritise and to work under pressureGood listening skills and ability to respond to feedbackAbility to be pro-active and deliver a quality service to both internal and external clients Job OfferFull Time HoursPermanentUp to £35,000 BOEHybrid WorkingBirmingham City CentreAt Gleeson Recruitment Group, we embrace inclusivity and welcome applicants of all backgrounds, experiences, and abilities.
