Job DescriptionJob descriptionThe role is within our busy operations team of 5 people and involves supporting the firm's 50+ lawyers (and non-lawyers) with all aspects of administration of their files aswell as the day-to-day operations of a busy law firm.The ideal candidate will have a high attention to detail, eagerness to learn, self-motivated and awareness of client confidentiality and sensitive information.Qualifications and ExperienceEssential:Previous administrative experienceDesirable:Experience in a legal firm; a legal degree is not requiredExperience using Case Management systems (e.g.: DPS OneOffice)Knowledge, Skills and AbilitiesProficiency in Microsoft Office (Word, Excel, and Outlook); experience with Exceland Adobe Acrobat Pro is a plusMeticulous attention to detail in tasks, writing, and numeric figuresExcellent communication skills both written and verbalAbility to multi-task and organise own workAbility to prioritise and coordinate workAbility to maintain confidential informationAbility to maintain, follow up and complete outstanding tasksKey Responsibilities include:FinancialDay-to-day payment management, incoming and outgoingLiaising with bookkeepers to maintain consistent accounting recordsPaying consultants and suppliers on a regular basisLiaising with fee earners for quarterly file management and closureAdministrativeDaily document management including post, faxes, photocopying, printing,scanning, binding, and shreddingInternal phone receptionMonitoring incoming queries and routing to appropriate recipientMaintenance of office area, equipment, and suppliesManaging Outlook calendarsHandle written and electronic correspondenceSchedule meetings, reserve rooms, coordinate video or audio equipment, andorder foodAd hoc internet research as requiredDocument creation and editing (including using digital signature software)Perform any other duties as necessary and as assigned, for efficient functioningof the Department, Office, and FirmClient openingLiaising with fee earners regarding client onboarding procedures andcomplianceCreating, reviewing, and communicating reports required for Client DueDiligenceOffice Hours5 days per week (Mon-Fri)9am-5pmPermanent, Office BasedSalary£26,500.00 - £28,500.00 per annumIndustryLaw PracticeEmployment TypeFull-time
