NOCN Group are looking to recruit a HR Administrator who will support effective front line service delivery by supporting managers and employees across a range of operational HR activities.
Please note that this vacancy will be based in either our Sheffield or King's Lynn office.
Purpose and Objectives:
To provide general administrative support to the People and Culture Team. Play a key role in ensuring accuracy across operational HR activities whilst delivering a professional and proactive service to the team, employees, and external customers. Support the team in maintaining consistency of practice and compliance with statutory requirements, legislation, and best practice.
Support effective front line service delivery by supporting managers and employees across a range of operational HR activities including but not limited to, recruitment, induction, health and safety, learning and development, employee records administration, data collection, analysis and reporting.
Support with end-to end recruitment for a constant pipeline of contracted End Point Assessors and related roles for NOCN’s End Point Assessment Provision.

Duties and Responsibilities:
Human Resources Administration
1. To assist in the maintenance and upkeep of all employee records.
2. To use and maintain the HRIS as required for all day to day administrative processes, for example:
2.1. Inputting new employees
2.2. Updating employee records
2.3. Data requests
3. To support and facilitate recruitment and selection processes, for example:
3.1. supporting recruiting managers with advertising to facilitate a tailored and sometimes
bespoke advert, which is fit for purpose.
3.2. Headhunt for roles using LinkedIn Recruiter and similar methods
3.3. monitoring applications and equal opportunity documentation, to oversee our commitment to
Disability Confident, ensuring relevant candidates are offered an interview.
3.4. Administrating the Recruitment Mailbox.
3.5. Preparing shortlisting and forwarding to recruiting managers for short-listing.
3.6. Inviting candidates to interview via phone and email.
3.7. To support managers with interviews e.g. venue, overseeing and facilitating interview testing, providing relevant paperwork as requested and refreshments etc
4. To process offer letters, contracts of employment and other relevant documents to new starters.
5. To follow up on any pending new starter documentation as required e.g. pre-employment checks.
6. To carry out necessary ID checking in line with right to work requirements and safeguarding requirements.
7. Support with the timely production of various data requirements for a range of audiences both internal and external e.g. HR data, survey data requests and any other ad hoc data reports as required.
End Point Assessor Recruitment
1. Headhunt for End Point Assessors and related roles using Linked-In Recruiter and similar methods.
2. Proactively seek creative solutions to help fulfil End Point Assessor resource requirements.
3. Proactively engage with End Point Assessors via phone and email to collect documentation, seek recommendations, and boost participation.
4. Carry out all recruitment administration activity for NOCN’s End Point Assessor and related roles.
5. Support with interviews for End Point Assessors.
6. Ensure candidate pre-employment checks meet right to work and strict regulatory requirements as stipulated by Apprenticeship regulators.
7. Ensure recruitment documents are received and stored promptly in NOCN’s CRM System.
8. Ensure the accuracy of data entering the EPA CRM and Rubric systems is completed in line with the requirements of the apprenticeship regulators.
9. Ensure external contracted staff’s CPD log and Conflict of Interest Declaration is up to date on an annual basis, with the support of subject matter experts.
10. Proactively seek to learn and understand EPA and the requirements of various EPA standards.
Other Duties and Responsibilities
1. Work with and support the other HR Administrators, and Senior HR Administrators to meet the team workload.
2. Always act to support the team.
3. Dealing with enquiries from staff and the general public, in person, over the phone, and via email, providing advice, signposting, or referring as appropriate.
4. Actively participate in the co-ordination of a variety of events across all NOCN Group premises.
5. Involvement in projects as deemed relevant by the HR Operations Manager or Group Head of People Support and Development.
6. Support the HR Advisor role with administrative duties as required.
7. The processing of other clerical duties e.g. scanning, photocopying, shredding, as required.
8. To efficiently deal with and process in a timely manner all incoming and outgoing email accounts, including AskHR mailbox, Recruitment mailbox and individual email account.
9. To take minutes of meetings as required.
10. Participate in and provide regular updates at Team Meetings.
11. Proactively seek improvements to current working practices.
About you...
The ideal successful candidate will meet the following
essential
criteria:
Have right to work in the UK
Level 2 in Literacy and Numeracy.
Experience working in a demanding administrative role.
Experience in the administration of computerised records.
Experience efficiently managing multiple and/or high volume mailboxes.
Experience delivering excellent customer service, face to face, onthe phone, and written.
Experience working with confidential data.
Understanding of data protection protocols.
Commitment to maintaining and protecting confidentiality.
Other
desirable
criteria includes:
Level 3 qualification or higher in HR or a related subject
Level 3 qualification or higher.
2+ years’ experience working in demanding administrative role/s
Experience working in HR.
Experience with recruitment administration.
Experience actively headhunting (recruitment)
