We have an exciting opportunity for a Part-Time HR Administrator to join Leicestershire Police Force at their HQ in Enderby.

This is a temporary ongoing role working 22.50 hours a week. Days and times to be discussed with the successful candidate.

PLEASE NOTE DUE TO THE POLICE VETTING CRITERIA YOU MUST HAVE BEEN RESIDING WITHIN THE UK CONTINUOUSLY FOR AT LEAST 3 YEARS AT THE TIME OF APPLICATION.

Job Role /Purpose:

To support the aims of the organisation by providing an efficient and effective administrative support service in a confidential environment within HR.

Operational:

To be responsible for updating the HR and Your Wellbeing websites ensuring all documents are in the appropriate and most up to date format.

To publish internal and external Weekly Orders, HR Newsletters and Adverts onto websites for HR Team.

To assist with organising meetings, taking notes and transcribing them.

To undertake minor research and information collation projects to support the HR Team.

To provide diary management services to the HR Team.

To help prepare reports and presentations.

Ensure that all correspondence/enquiries are dealt with as appropriate and within set time scales responding in a timely manner to all ad hoc queries and requests for information.

Input, amend, search and retrieve information on the HR Management Information system (HR Gateway) relative to process work and staff personal records.

To input data onto various spreadsheets and databases as required.

Searching data from HR Management information systems (HR Gateway) for the Department as directed by the Line Manager.

Running reports from HR Management information systems (HR Gateway) and prepare reports for the Department as directed by the Line Manager ensuring accuracy and distribution to agreed time scales.

To help prepare reports and other work ensuring accuracy distribution to agreed time scales and updating spreadsheets.

Prepare information for and compile information/literature packs relevant to the Department.

Administration:

To support the HR Team by providing an efficient and effective administrative support function in a confidential environment.

To handle routine correspondence inclusive of photocopying, cyclops, scanning and other enquires.

To manage all incoming correspondence and resolve queries providing a confidential administrative service.

Accurately updating and monitoring departmental excel spreadsheets.

To undertake minor research and information collation projects to support the HR Team.

To provide diary management services to the HR Team.

To help prepare reports and presentations.

Essential knowledge:

  1. To have grade C GCSE in English Language or be able to demonstrate experience of working to that standard
  1. Demonstrate effective communication skills.
  2. Demonstrate the ability to work within a team whilst also working well on own initiative.
  3. Demonstrate the ability to create and manipulate information systems such as excel.

Demonstrate experience in general administration and customer service.

Work Experience:

  1. Demonstrate experience of searching for and amending records on HR Management Information systems.
  2. Demonstrate experience in preparing written reports and presentations.
  3. Demonstrate ability to take accurate minutes of meetings.
  4. Demonstrate an understanding of HR systems e.g., HR Gateway.
  5. Demonstrate the ability to prioritise work and adhere to deadlines.
  6. Demonstrate personal awareness of diversity issues and encourage an inclusive environment of equal opportunity and openness.
  7. To have a good working knowledge of using Microsoft packages including Word, Excel, Outlook and PowerPoint.
  8. To have an understanding of the provisions of the Data Protection Act and the freedom of Information Act.
