The HR & Admin Officer is a key position within the finance and corporate services team, responsible for maintaining many of the core functions of the department. About the LyricThe Lyric Theatre enjoys a special place within Northern Ireland’s artistic landscape. As a prolific production house, the Lyric is the beating cultural heart of Northern Ireland – inspiring and entertaining audiences with both new and established plays and helping to launch the careers of some of our most famous actors, directors, and playwrights. The Lyric is a playhouse for all. We are a shared civic space for artists and audiences alike; a creative hub for theatre-making, nurturing talent and promoting the critical role of the arts in society.As Northern Ireland’s only full-time producing theatre, each year we produce 9 or 10 full-scale productions, 2 of which run concurrently at Christmas. We also receive visiting work from touring companies. We stage some 400 performances each year and are the largest employer of theatre practitioners in Northern Ireland. Our modern theatre opened in 2011 and consists of the 390-seat main stage and the 124- seat flexible Naughton Studio. In recent years, the theatre won 4 Irish Theatre Awards, was voted NI’s most welcoming theatre, staged co-productions with the Abbey Theatre, Soho Theatre and the Dublin Theatre Festival and toured to New York, London, Glasgow, and Dublin. In 2022, we won Best Play Revival for Translations with Abbey Theatre at the UK Theatre Awards, in addition to our Creative Learning department winning Excellence in Arts Education. In 2023 we won Theatre of the Year at The Stage Awards, and Business Contribution to the LGBTQIA+ Community at the GNI Mag Awards, as well as Best Play Revival for Beauty Queen of Leenane with Prime Cut at the UK Theatre Awards.There are two group companies. Lyric Theatre NI (The parent company) is a company limited by guarantee and a registered charity and is also the owner and operator of the theatre and the primary recipient of grant funding. Lyric Players Theatre Productions Limited is a wholly owned subsidiary of Lyric Theatre NI and is responsible for producing professional theatre productions and the operation of food and beverage operations within the theatre. The combined turnover of the two companies is in excess of £3.5million. The two companies employ more than 90 employees. For more information on the Lyric Theatre, visit www.lyrictheatre.co.uk.Purpose of the RoleThe HR & Admin Officer is a key position within the finance and corporate services team, responsible for maintaining many of the core functions of the department. As the theatre’s workforce has continued to expand and diversify in recent years, including our new scenic workshop facility, this role addresses the need for a robust HR department within the theatre, and prioritises our people.The post holder will support the delivery of the full range of HR services internally, including provision of advice and guidance to managers through all aspects of the end-to-end employee lifecycle, in line with organisational policies, procedures and legal requirements, to facilitate and lead on recruitment campaigns, and administer staff training, welfare and wellbeing initiatives. The role will also administer the internal IT and Telecommunications system, liaising with external IT support provider, as well as maintenance of the theatre’s asset management system.The successful candidate is likely to be a great communicator, work well both independently and within a team, will be resilient and adaptable and enjoys the diversity of delivering on a wide range of HR issues and projects.This is an excellent opportunity for an enthusiastic individual looking to take the next step or consolidate their career in Human Resources, and gain experience in wider corporate services. The role will be fully supported by the Head of Finance & HR giving the opportunity for advancement and growth within the team.Main Duties and ResponsibilitiesCore ResponsibilitiesSupport the Theatre’s HR function and provide advice and guidance to managers on all aspects of the end-to-end employee lifecycle and other employee relations matters;Review, develop and implement HR policies and procedures in line with employment legislation and best practice;Provide support to the Head of Finance & HR in developing and implementing an HR strategy that supports our team to best deliver for the theatre;Provide advice, guidance, and training to stakeholders on a wide range of HR topics;Lead on the implementation and review of ongoing HR initiatives, projects, and programmes.Specific DutiesHR Administration & PolicySupport the Head of Finance & HR in the effective management of the HR function and in maintaining a positive working environment;Organise, co-ordinate and monitor the provision of efficient Human Resources services to Lyric managers and staff including document management and records maintenance;Support the management of absences in accordance with relevant policies and maintenance of the theatre’s Sage HR absence management platform;Regularly review, monitor, and update Lyric Theatre Policies and Procedures to ensure they reflect current employment law and best practice;Promoting the theatre’s principles of Inclusion, Diversity, Equity and Access through the IDEA Framework and the development of initiatives and events;Assist the Head of Finance & HR in relation to employee relations matters (discipline, grievance, absence, probation, redundancy, dismissal etc.);Support managers and staff with their duties relating to performance and appraisal;Collate employee information and complete and submit Equality Commission annual monitoring returns, quarterly business reports, and other statutory, annual, and interim funding reports;Administer and co-ordinate internal employee forums including Staff Council, Health & Safety Working Group, and the IDEA Council;Support the annual staff survey process, including collation and communication of responses;Collate and collaborate with the Marketing team on the monthly staff newsletter and other employee communications;Keep up to date with all developments in the UK Theatre/Equity agreement and other relevant unions;To co-ordinate and support the use of volunteers in line with company policies;Provide accurate, timely and informative HR support information as required.Recruitment and SelectionSupport the Head of Finance & HR with the workforce planning processes;Administer the end-to-end recruitment and selection process, ensuring adherence to equality legislation;Manage all administration associated with applicant engagement throughout the recruitment and selection process; from advertisement through to selection and offer, contract of employment and induction including New Starter Documentation, and Right to Work checks;Co-Ordinate recruitment campaigns including all administrative duties such as setting up and scheduling meetings, interviews and providing advice and guidance to selection panels;Review existing and devise new job descriptions and person specifications as required for all posts;Prepare and participate in Shortlisting and Interviewing during the recruitment process, when required;Arrange for job vacancies to be communicated and uploaded to the various recruitment channels;Co-ordinate an effective on-boarding process and ensure Inductions are completed with any New Starters, including HR and Health & Safety;Schedule end of Probationary Interviews as required, following up with necessary documentation;Ensure the Leaver process is followed including conducting exit Interviews when required.Employee Wellbeing and WellnessBe the point of contact for the Lyric Theatre Employee Assistance Program provided by Spectrum.Life;Preparing and publish the Theatre’s Annual Wellness Plan and programme;Lead on the management of staff incentives, including staff events, and voucher distribution;Act as a Mental Health First Aider, providing assistance and signposting as required.Training & DevelopmentWork with the Head of Finance & HR to ensure the ongoing development and implementation of the theatres approach to staff learning and development;Work with the SMT and Managers to assess training needs and assist in the development, facilitation and recording of team and individual learning and development plans;Organising an annual training and development programme for staff, including responsibility for the theatres training budget;Ensure the HR platform iHASCO is keep up to date with relevant training, and Policies and Procedures;Organising regular all team training opportunities in line with the Lyric Theatre values.PayrollTo liaise with payroll to ensure maintenance of accurate records and documentation in relation to statutory payments, leave entitlements, infringement, and other payroll payments/deductions;Ensuring processing of new starters, leavers, maternity, paternity leave etc;Handling of employee queries and information requests;Supporting the Company’s Auto-Enrolment and Company Pension schemes.IT & Phone SystemsBe point of contact for the Lyric with IT & Phone Service providers, including co-ordination of monthly on-site visits and other ad hoc IT issues;Assist with the maintenance of accurate records for IT equipment and other portable assets;Maintenance of the Fixed Asset Register and tracking equipment issued to staff members.OtherObserve the strictest confidentiality at all times;Comply with policies and practices on health & safety, equal opportunities, and dignity at work;Undertake other duties as may reasonably be required.This list is for guidance only and is not exhaustive. The post holder will also be required to carry out other reasonable duties as required by the line manager.Either: Third level qualification in Human Resources or a related discipline (or equivalent) and 2 years’ experience working in a dedicated generalist HR role; ORAt least 3 years’ experience working in a dedicated generalist HR role.
