Our client works with most important names in the world of finance, investment and professional services, connecting key players in some of the most lucrative markets globally, and due to the phenomenal success of their portfolio, we are helping to look for a talented Head of Event Operations.
The role:
This busy, varied Head of Event Operations role plays a key part in the delivery of a leading portfolio of conferences, awards, briefings and roundtables. The role will incorporate operational aspects - full end-to-end event management of 6-8 events per year, including the flagship Awards event for 1,000 people - as well as leading the operations team and line managing three junior team members.
Responsibilities include:
Oversee logistical delivery of a portfolio of c.30 events per year, including conferences, awards, breakfast briefings and roundtables
Personally manage 8-10 events per year, including:
Sourcing, booking and negotiating with venues and other suppliers
Writing and managing budgets
Supporting an events assistant/coordinator with delegate and sponsor management
Working closely with the sales team and directly with clients on contract deliverables
Reporting on event progress and challenges to the event director and project team as required
Line management and development of three junior team members (event manager, event coordinator and events assistant), including:
Allocation of work
Training and oversight of tasks
Coaching, personal development and performance reviews
Administrative management such as signing off holiday, etc.
Play a strategic role in the growth and development of the events team and portfolio
Resource management and allocation for the operations team
Design and maintain operational processes and allocate work across the team
Work closely with the event director on forward planning of next year’s events
Lead on budget setting (costs) for next year’s events and report on progress to event director and CFO
Bring in new ideas to ensure we continuously improve the quality, efficiency and innovation of our event delivery
Work closely with stakeholders across the company including marketing, sales, editorial and conference production
Skills, attributes and experience
Experience in leading the management of complex events and logistics whilst working in a fast-paced events environment.
Experience working with and managing venues
Experience in negotiating contracts with venues and other suppliers
Experience in constructing and managing event budgets
Experience managing and mentoring junior team members
Experience using event CMS and registration software
Excellent attention to detail and organisational skills
Strong customer service and relationship-building skills
Ability to multitask and remain calm under pressure
Highly proactive, with the ability to work independently and take ownership of tasks and projects from start to finish
A true team player - regular communication, flexibility and insight sharing
Strong time management skills, with the ability to work to tight deadlines
Reliable, accountable, self-starter and the ability to motivate yourself while working in the office or remotely
