Our offices are located at Marshalls Mill, Marshall Street, Holbeck, a ten-minute walk from Leeds City Station.Website: www.afinite.co.ukThe RoleWe are looking for a proactive and ambitious Graduate Client Operations Manager to join our team in a key role to drive success across the business. You will work closely with all members of the team to facilitate communication, improve processes, and provide support to a variety of internal and client projects. The ideal candidate will be able to work in a fast-paced environment and adapt to a wide variety of tasks, be able to prioritise workloads and communicate well with others. You will need outstanding organisational skills and the ability to manage your time effectively.The role offers a wonderful opportunity for a candidate looking to take ownership of key responsibilities and flourish within a small team. We are seeking a keen individual who can build rapport with the internal team, clients, and suppliers while taking on operational management responsibilities.ResponsibilitiesWork closely with the Managing Director to price, source, quote and deliver client projects.Account management activities supporting the Managing Director and Marketing Manager by being a key ‘go-to’ contact for customers and suppliers.Process improvement activities to develop, document and improve processes and systems in the business to increase efficiency.Scheduling, attending, and contributing to proposal and new client meetings as requiredGeneral administration as needed within the business to support growth and ensure client satisfactionUsing the company’s PSA (Professional Services Automation) platform to create support contracts, oversee tickets and the posting and invoicing of monthly support timeCreation and production of client quotes in line with company standards, ensuring high levels of accuracy and efficiencyLiaise with suppliers & vendors to check stock and pricing to ensure smooth delivery of client work requestsPurchase order creation and placement with suppliers and processing in a timely manner, recording of all purchases and providing updates to the team on delivery timescalesWork alongside the Financial Administrator to coordinate and oversee the financial administration including the generation of client invoices, the processing and payment of supplier invoices, reconciling bank transactions and the resolution of queriesResponding to client requests via email and telephone to resolve service queriesCoordinate and facilitate client visits, liaising with contractors as requiredMeeting and diary management of staff within the businessDevelop a good rapport with Clients, supporting them with project delivery and the management of their accountsInvolvement with business support projects including marketing activities with our marketing managerSupport new business activities by collaborating with the Managing Director and Marketing Manager. Making appointments and following up for feedback as appropriate.Skills & ExperienceExcellent verbal and written communication skillsAbility to easily build relationships with clients, vendors, and internal teamWillingness to learn and developStrong organisational and effective time management skills are key in this roleExcellent knowledge of Word and ExcelStrong ability to work with data and interpret resultsExperience of working in a customer/client environmentExcellent team playerAttention to detailFlexibility and resilience to work in a demanding fast-paced environmentExperience in Invoicing/Accounting Systems such as Xero would be beneficial but is not essentialExperience in PSA (Professional Services Automation) systems such as Halo or Autotask would be beneficial but is not essential2:1 or above bachelor’s degree in a business, or operations-related subjectAn interest or knowledge of technology is beneficial but not essential
