Front of House Administrator Brentford Head OfficeMain purpose of the job is tobe the first point of contact for all visitors to Head Office. You will answer all incoming calls to Head Office, ensuring that general queries are answered, and calls are directed to the correct person. You will be responsible for managing all reception-based services and providing administrative support to the Facilities team.

Key TasksGreet and welcome all visitors to Head Office, ensure that they are directed and announced appropriately.Answer and screen incoming calls, transfer and announce callers, as necessary.Sort and distribute all mail and deliveries promptly.Prepare all outgoing post for business post collection.Book and record all couriers.Ensure the reception area is tidy and presentable at all times.SecurityOpen and close the reception area.Access control administration including adding starters/removing leavers, issuing personal PIN codes and swipe cards, monthly system backups.Maintain main office security by following safety procedures and control access via the reception desk.Other DutiesProcess Facilities related invoices using ContiniaObtain quotes for products and services for Facilities DepartmentSole management of Day Group’s general enquiry mailboxEnergy administrationOrder PPE for Group ServicesBooking catering and hospitalityMaintain all Facilities related databases (data inputting)Manage and top up franking machineOrder stationery for all Day Group depots and Head OfficeManage Brentford stationery / printed stationery stock levels and maintain a user-friendly stationery storeAny other reasonable tasks and duties as requested by your Line ManagerPerson SpecificationSelf-motivated, personable, punctual, and reliableGood organisational and time management skillsGood communication skills, both verbal and writtenA flexible approach with the ability to multi-taskProficiency in Microsoft Office suiteComfortable in the use of standard office equipment such as scanners & franking machinesWorking times/hours: 40 hours per week, Monday to Friday 0830 to 1700, including 30 minutes unpaid for lunch.Benefits, after a successful probationary period, will include: annual salary plus an employer pension contribution of 9%; recruitment referral bonus , a ‘Death in Service’ benefit; 29 days paid leave, including Bank Holidays, option to buy up to 5 extra days.
