One of my longstanding clients are on the lookout for an FM Contract Support Administrator to join on one of their flagship London contracts. As a Contract Support Administrator, your role would encompass various responsibilities critical to the smooth operation and management of the contract, working with a wide range of internal and external stakeholders to the business.

Responsibilities

  1. Contract Administration: Manage the full life cycle of contracts, including drafting, reviewing, and finalising contracts for FM services such as maintenance, repairs, cleaning, security, and landscaping.

  2. Contract Compliance: Ensure that all contracts comply with legal and regulatory requirements, as well as company policies and procedures. Monitor contract performance and adherence to service level agreements (SLAs) and key performance indicators (KPIs).

  3. Vendor Management: Coordinate with vendors, suppliers, and subcontractors to negotiate terms, pricing, and service agreements. Maintain relationships with vendors and ensure compliance with contractual obligations.

  4. Documentation Management: Maintain accurate and up-to-date contract records and documentation, including contract terms, amendments, renewals, and terminations. Organise and manage contract files in a systematic manner for easy retrieval and reference.

  5. Financial Management: Assist in budgeting and forecasting for contracted services. Track and report on contract expenditures, invoices, and payments. Identify cost-saving opportunities and ensure contracts are executed within budgetary constraints. Working closely with sub-contractors and agency partners to manage/authorise time sheets for temporary workers and approving purchase orders for various services.

  6. Communication and Coordination: Serve as a primary point of contact for internal stakeholders, including operations teams, finance, legal, and procurement departments. Communicate contract requirements, changes, and updates effectively to ensure alignment and collaboration across departments.

Requirements

  • Experience in a similar role for an FM service provider or in-house maintenance team (desirable)
  • Strong communication and business acumen skills
  • Highly organised
  • Ability to work independently and as part of a wider team
  • Able to work on-site 5 days a week in Central London site
