Overview:

The Facilities Manager will be based on a full-time basis from our MUFG Pension & Corporate Markets office at Central Square in Leeds.  The role is Monday to Friday, 37 ½ hours per week and will support up to 200 staff each day from a facilities management perspective.

You will support the MUFG Pension & Market Services teams based on-site, working on day-to-day tasks, in addition to supporting with Health and Safety and Facilities Management projects, ensuring that all relevant procedures and measures are maintained to enable an effective blended working environment across the different teams.

You will work alongside our managed services suppliers to enable them to provide the required support our colleagues require.

What you need:

As with any role, we want to find the right person and we want to make sure you know it’s the right role for you too.  You’ll need the following:

•    A minimum of 8 years’ experience in the Facilities Management sector, with demonstrable experience as a Facilities Manager who has worked within a managed services environment

•    An excellent understanding and good knowledge of Health & Safety regulations

•    Exceptional written and verbal communication skills with the ability to liaise with a variety of internal and external customers, visitors, senior leadership and clients at all levels

•    A flexible approach to work as there are times you will need to work weekends/out of hours to accommodate contractor access when required

•    Excellent planning and organisational skills with the ability to adapt and change priorities due to rapidly changing situations

•    The ability to work under pressure to tight deadlines whilst building and maintaining relationships with a variety of stakeholders

•    A strong customer service and team ethic with great interpersonal skills and the ability to be a team player

•    A proactive and highly self-motivated individual with the drive and desire to do a good job

•    Exceptional problem-solving and complaints handling skills

•    The ability to negotiate with internal colleagues, external customers and managed service colleagues in a professional manner

•    Active listening skills, with a strong team focus, but also with the ability to manage your own workload

•    A full UK driving licence

Day to Day:

•    Managing the Leeds MUFG Pension & Market Services site from a facilities management perspective on a day-to-day basis

•    Being the central point of contact for general facilities management queries in Leeds

•    Ongoing proactive management of risk, including physical security audits, risk assessments and being the main point of contact for Group Risk and IT Security should any issues arise

•    Overseeing the six-monthly maintenance of all UPS’, gas suppression systems and fire curtains, in addition to the annual power down of the 2 MUFG Pension & Market Services floors out of hours

•    Assisting with requests regarding maintenance and repairs as and when required, in addition to arranging planned maintenance work

•    Working with the managed services teams to ensure that cleaning standards on the operational floors are being met and attend all regular on-site meetings with the soft-services provider

•    Being the central point of contact for the auditors, updating the 2SMS BCP system for new starters and leavers

•    Monitoring of stationery stock levels and associated ordering of stock, in addition to collecting and arranging deliveries, such as the twice weekly fruit baskets

•    Coordinating the provision of all lockers and on-site storage in accordance with a blended working environment

•    Supporting with the management of building related contracts and suppliers, such as hard and soft services, regular attendance at tenants’ meetings and ensuring that all contractors are logged into the systems and the relevant access control passes are distributed

•    Assisting with local DSE risk assessments and supporting the HSE Manager as required

•    Ensuring sufficient Fire Marshalls and First Aiders are in place, trained and attending daily

•    Taking the day-to-day responsibility for MUFG Pension & Market Services access control systems in Leeds, specifically the creation of new starter passes, the deactivation of leaver passes and liaising with the Central Square security team to ensure all information is updated for the building access control system

•    Maintaining and cleaning all printers and ensuring the utility areas are kept tidy and stocked with suppliers

•    Acting as the MUFG Pension & Market Services point of contact for the building Main Reception and the arrangement of the six-monthly fire evacuation and subsequent reporting to the Risk and Health & Safety Managers

•    Taking responsibility for all coffee machines and associated equipment and ensuring they are maintained as per the relevant contract

•    Acting as the point of contact and having a watching brief for the vacant Huddersfield office, which requires physical checks and ongoing maintenance of the grounds, in addition to being on call for any emergencies
