Are you a highly organised and customer-focused individual? Do you thrive in a fast-paced environment where no two days are the same? If so, we have a fantastic opportunity for you to join our client's team as a Facilities Coordinator.

Our client, an international company based in the vibrant Mayfair area, is seeking a Facilities Coordinator to provide key administrative support and deliver exceptional customer service. As the first point of contact at the reception desk, you'll play a vital role in ensuring smooth operations and creating a positive experience for visitors and staff alike.

Key Responsibilities:

  • Manage front desk and reception duties with a warm and friendly approach
  • Assist client representatives with general administrative support
  • Coordinate meetings and appointments by managing staff diaries and calendars
  • Draught letters, correspondence, and reports
  • Arrange travel arrangements for selected staff members
  • Handle call transfers and provide excellent customer service at the front of house
  • Book and notify hosts of visitor arrivals
  • Order stocks, supplies, and catering hospitality as needed
  • Raise and follow up on work orders with vendors
  • Process vendor invoices and ensure compliance with corporate procedures
  • Access corporate IT systems and update details as required
  • Maintain a high level of customer satisfaction by consistently meeting quality standards

What we're looking for:

  • Experience in a front desk and administrative role
  • Strong customer service experience, always exceeding customer needs
  • Excellent computer literacy, problem-solving, and stakeholder management skills
  • Effective prioritisation and workload management
  • Self-motivated, proactive, and able to work independently or as part of a team
  • Calm under pressure and reliable with timekeeping and attendance
