PeopleCert is looking for an Executive Secretary that will be supporting Top Management with administrative duties and managing the office operations efficiently. The ideal candidate will possess excellent communication skills, with fluency in both English and Greek, to cater to our diverse clientele and internal team.As an Executive Secretary, your tasks will include the following:Manage and organize Top Management’s calendar, including scheduling meetings, appointments, and travel arrangements.Handle confidential documents and communications with discretion.Prepare meeting agendas and take minutes during meetings.Act as a point of contact between the Top Management and internal/external clients.Oversee the day-to-day operations of the office, ensuring a smooth and efficient work environment.Manage office supplies inventory and place orders as necessary.Liaise with facility management vendors, including cleaning and catering.Organize office maintenance and repair work.Implement and maintain office policies and procedures.Coordinate internal events and meetings.Adhere to, and implement procedures, policies and work instructions as per PeopleCert’s Integrated Management System.Ensure their work and presence is aligned with company’s values “Quality - Passion - Integrity - Innovation” at all times.What we look for:Bachelor’s degree in Business Administration, Management, or a related field is preferred.Proven experience as an Executive Assistant, Office Manager, or similar role.Excellent command of the English language (C2 level certification desired, LanguageCert C2 LTE or C2 IESOL certificate would be a plus).Excellent command of the Greek Language.Advanced computer literacy is required. All SELT personnel will be required to complete a declaration (provided by PeopleCert) where the existence of any criminal record and/or bankruptcy must be declared.If working on the SELT service in the UK, background checks will include:A basic or enhanced Disclosure Barring Service (DBS) checkRight to Work in the UK check (including nationality, identity and place of residence)HO security check (Baseline Personnel Security Standard (BPSS) or Counter Terrorist Check (CTC)Financial background checkEmployment reference check.If working on the SELT service anywhere in the world (outside of the UK) personnel will undergo background checks that are equivalent to those stated for the UK.In addition, if personnel are required to speak to SELT candidates they must be appropriately skilled in English language and, where SELT services are provided anywhere in the world (outside of the UK), the official language of the relevant country.All applications will be treated with strict confidentiality.
