As the Executive Assistant to the managing director, you will play a crucial role in supporting our leadership to streamline operations, manage schedules, and enhance productivity. This position requires a highly organised, trustworthy, and dynamic professional who is capable of managing multiple tasks, along with a proactive approach to handling the managing directors demanding schedule and priorities. The ideal candidate will thrive in a fast-paced environment, maintain confidentiality at all times and serve as a strategic partner in day-to-day work duties. Responsibilities: Manage the Managing Director's personal and work calendar, including scheduling meetings, appointments, and travel arrangements to ensure optimal use of their time. Handle incoming calls and emails, respond appropriately, and ensure all communications are directed to the relevant department when necessary. Providing administrative and clerical support. Manage expense reports. Prepare, organise, and maintain documents and reports for meetings and presentations. Attend meetings, take minutes, and follow up on tasks outstanding. Organise and coordinate internal and external events. Assist in preparing agendas. Coordinate with various departments to ensure timely completion of tasks and projects. Build and maintain strong relationships with key stakeholders. Represent the Managing Director when necessary. Monitor project timelines and milestones, providing regular updates. Assist in conducting research and gathering data to support decision-making processes. Handle sensitive information with the utmost confidentiality and discretion. Maintain strict confidentiality of all communications and documents. Hold weekly meetings with directors to ensure the progress on outstanding actions and identify any conflicts or further actions required. Be able to make low level decisions on behalf of the directors where appropriate. Continuously seek opportunities to streamline processes and improve efficiency. Perform ad hoc tasks as assigned by the Managing Director. Upholding and promoting the vision, values and culture for internal and external members. Requirements : Proven experience in an Executive Assistant, Personal Assistant or similar position. The ideal candidate will have over 3 years of experience in EA, PA or similar role. Exceptional organisational and time-management skills. strong verbal and written communication abilities. ability to handle confidential information with discretion. Highly professional, with a proactive mindset and the ability to remain calm under pressure. Must be a resourceful problem-solver and a dedicated team player.
