They are now looking for an experienced Execuitve Assistant to provide comprehensive, timely and accurate support to one or more Senior Executives. You will have a focus on providing an efficient and responsive administrative service, regularly liaising with heads of departments as well as external clients and stakeholdersOrganise and maintain the diaries; attending weekly meetings to discuss priorities.Manage all incoming emails and post as appropriate, taking initial control of incoming mail; Accept and make calls on behalf of the Executive(s) and manage incoming calls that do not require their personal attention;Manage all diary requirements for the Executives(s) for internal and external meetings;Manage all business travel arrangements and accommodation requirements for the Executives(s) and for the wider business when required;Produce all documents and management information on behalf of the Executives(s);Manage expenses for the Executives(s) utilising the Company online system;Build strong relationships with other Executive Assistants across the business, sharing practices and efficient ways of working, as well as providing sufficient support where needed.Arrange all meetings including but not limited to; Team meeting, meetings with external parties, regular 1:1 and appraisal meetings, and any other meetings as appropriate.Build strong relationships with various internal and external stakeholders across the business, to order achieve the above.Ensure the Executive(s) are briefed and prepared for all engagements, travel and meetings in advance.Circulate any papers required for the meetings in advance.Ensure all meeting minutes and action points are recorded accurately and circulated to the appropriate individuals in a timely manner.About You:Previous experience in an Executive Support role for a senior manager or Director.Discretion, tact and confidentialityExperience of working within a fast-paced client facing environment; Extensive experience of working with Microsoft Office products, including Word, Excel, Outlook and PowerPoint;Experience of delivering accurate, relevant and timely information.Experience of working in an environment of significant change.Experience of working in a financial services environment (desirable)Skills & Qualifications:Ability to maintain trust and confidentiality at all times.Excellent interpersonal and communication skillsExcellent diary management, multi-tasking, planning and organisational skills.Ability to communicate clearly and accurately with varying levels of colleagues and contactsProfessional etiquette and communication, both oral and writtenHigh level of data entry and use of technology.Ability to anticipate requests, solve issues as they arise, and reprioritise tasksAbility to make clear and timely decisions.Flexibility to adapt to the changing needs of the business.Excellent accuracy and attention to detailAbility to work on own initiative and prioritise workload and that of others.Proven ability to work under pressure and to tight deadlines.25 working days in addition to the normal Bank Holidays, in addition 1 extra day’s holiday for each year of service up to 28 days.Holiday buy and sell scheme where you have the opportunity to buy an additional 5 days holiday per year. Clever-HR is a forward-thinking Recruitment Consultancy that provides a bespoke service to our clients within Wealth Management.Our consultants will work with you to attract key personnel into your business.Roles include Financial Advisers/Wealth Managers, Paraplanners, IFA Administration and Compliance professionals.
