About Our Client We are seeking an experienced and highly organised Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will be proactive, detail-oriented, and capable of handling a wide range of tasks with precision and professionalism. The Executive Assistant will play a pivotal role in ensuring the smooth operation of the executive's office, allowing them to focus on strategic decision-making and core responsibilities.
Job DescriptionCalendar Management:Manage the executive's schedule, including scheduling and coordinating meetings, appointments, and travel arrangements.Ensure that the executive is well-prepared for all meetings and events by providing necessary materials and briefings.Communication and Correspondence:Handle incoming emails and correspondence, drafting responses and filtering priority items.Screen and prioritise phone calls, taking messages or redirecting as appropriate.Travel Coordination:Arrange domestic and international travel, including flights, accommodation, and ground transportation.Prepare travel itineraries and ensure all travel-related documents are in order.Administrative Support:Prepare, edit, and proofread documents, reports, presentations, and memos.Manage and maintain important documents and files, ensuring accessibility and organisation.Assist in the preparation and coordination of board meetings, conferences, and other events.Expense Management:Track and reconcile expense reports, ensuring accuracy and compliance with company policies.Information Management:Maintain confidentiality and handle sensitive information with discretion.Keep the executive informed of important internal and external updates.Project Support:Assist with various projects and initiatives as assigned by the executive team.Collaborate with other team members to ensure project deadlines and goals are met. The Successful ApplicantProven experience as an Executive Assistant or similar role, with a track record of supporting senior executives.Strong organisational and time-management skills, with the ability to multitask and prioritise effectively.Excellent written and verbal communication skills.Proficiency in Microsoft Office Suite and other relevant software.Exceptional attention to detail and problem-solving abilities.Discretion and professionalism when handling sensitive information.Ability to work independently and as part of a team.Flexibility and adaptability to handle changing priorities and fast-paced environments.Bachelor's degree or equivalent experience preferred.
