This Executive Assistant (EA) role will manage the daily organisation of running the CPO's office to a high standard to support our strategy, including diary, briefing and inbox management and working with the Business & Portfolio Manager to maximise the bandwidth of the CPO, ensuring priorities are progressed and actions are delivered. Intuition is required as things change regularly, quickly, and at short notice, so you need to be good at anticipating needs, no matter the situation, and be resilient to get the job done.

This role is a 6-month FTC maternity cover and will report into the HR Business & Portfolio Manager. You will typically come into our London office c. 3 days per week, but we'll support you as best as we can!

What you'll be doing:

  • Maintain excellent relationships with relevant stakeholders

  • Maximise the CPO's effectiveness through managing the daily running of the CPO office, taking ownership and prioritisation of tasks and working with the Business & Portfolio Manager.

  • Ensure that the CPO is well prepared through managing the weeks (and months!) ahead, and ensuring that research, briefings, papers and actions are delivered on time and to the appropriate quality.

  • Manage the CPO's inbox, being a gatekeeper and ensuring quality responses are sent and that actions are passed out and followed-up and that deadlines are met.

  • Work with the CPO's Business & Portfolio Manager to ensure future planning is done in advance, this can include (but isn't limited to) working on external events and speaking preparations.

  • Support with Comms & Engagement activity, including planning HR-wide events alongside of the HR Business & Portfolio manager, HR Leadership Team's PA's, and our HR Culture Club, ensuring all logistical elements are considered and planned.

  • Support the HR Business & Portfolio Manager on matters connected with the HR Leadership Team Meetings, including monthly management meetings; offsites; and weekly meetings. You will compile and agree agendas, ensuring the papers are distributed on time, tracking actions and follow-ups, and producing minutes where required.

  • Oversee travel booking, meeting rooms, desk booking, expenses and purchase order invoices that are required for the CPO office.

  • Work in collaboration with the wider ExCo PA network on things such as ExCo meeting, events and diary commitments.

What you'll need:

  • Experience providing PA/EA business support to Executive Committee, or NED/Board members

  • Ability to handle a high volume of work with a sense of urgency

  • Strong adaptability and flexibility

  • Broad awareness and understanding the company's strategy, objectives, priorities, and performance

  • Excellent understanding of the interactions between people, processes and the employee lifecycle

  • Strong relationship management skills and an ability to work comfortably at all levels , including ExCo, Board & Company Secretary
