Job Description
We are pleased to be working exclusively with our client in search of a motivated, strategic Executive Assistant. Your goal will be to support the Chief Investment Officer by offering high-level administrative support and creating and maintaining a well-managed HQ office environment. You will need to be resourceful, proactive, and have a positive, helpful presence, serving as a true extension of the Chief Investment Officer.
As a natural project manager and someone who is hyper-organised, you will ensure the efficient day-to-day running of the Chief Investment Officer’s office. You will be the primary point of contact on all matters pertaining to the Chief Investment Officer and the team, becoming the 'go-to' person in the office. Your ability to manage projects and maintain organisation will be crucial to the role’s success.
We are looking for a friendly, professional team player with a willingness to engage with all stakeholders. You should have meticulous attention to detail and take pride in your work. The ideal candidate will possess a strong work ethic and a passion for being a high-performing Executive Assistant, always striving to excel. Given the nature of the company, this role is perfect for someone who thrives on being solutions-focused and accountable. Effective communication skills, both oral and written, and being tech-savvy, particularly with G Suite and Slack, are essential.
This is a new position supporting the Chief Investment Officer who is building the office from the ground up, offering you the opportunity to make the role your own. A background in investment or hedge funds would be advantageous.
Key Responsibilities
·
Organisation: Efficiently manage the CIO’s and team’s schedules, meetings, and agendas (full access).
·
Diary Management: Handle complex senior team diaries and resolve scheduling conflicts.
·
Travel Support: Coordinate travel arrangements, including itineraries.
·
Stakeholder Contact: Act as the first point of contact for internal and external stakeholders.
·
Meeting Minutes: Prepare and finalise meeting minutes, ensuring action points are followed up.
·
Documentation: Maintain critical business documents and manage documentation processes.
·
Event Preparation: Support event planning, making all necessary arrangements, bookings etc...
·
Ad Hoc Support: Be involved in company projects as required and also provide from personal support from time to time.
Office Management
·
Health and Safety (Serviced Office): Implement and maintain H&S policies, act as Fire Marshall and First Aider.

General Office Support: Manage office supplies, visitor management, and meeting room bookings.
Essential Experience & Personal Traits
·
Experience: 5+ years in C Suite / Board level administrative support.
·
Technical Skills: Advanced knowledge of Google G Suite.
·
Integrity and Confidentiality: Strong ethical values and confidentiality.
·
Communication: Excellent written and verbal communication skills with attention to detail.
·
Project Management: Proven ability to manage projects and handle multiple tasks.
·
Adaptability: Flexible approach to changing priorities and strong business judgement.

Dependability: Initiative-taking, loyal, and proactive.
·
Calm Under Pressure: Solutions-focused with the ability to meet tight deadlines.

Interpersonal Skills: Ability to build trust and respect quickly; naturally empathetic.
This opportunity has a 4 day in the office expectation (Mon to Thurs) but there will be a requirement to be adaptable. It must be noted that this position is very much about being present in the office, supporting and being available during office hours. Due to the nature of the Executive Assistant position, flexibility will be required with regards to working hours depending on what the priorities are of the Chief Information Officer or the business.
THIS ROLE OFFERS TO YOU

Depending on experience, the salary level for this role is £60,000 to £70,000
·
25 days annual leave plus 8 UK Statutory Bank Holidays
