Executive Assistant to CEOs OfficeDepartment: PeopleEmployment Type: Full TimeLocation: Leeds, UKDescriptionProgeny is currently in an exciting phase of growth and succession, which has in turn led to an investment in the expansion of the CEOs office. As an Executive Assistant to the CEOs office, you will support with administrative duties such as coordinating meetings, managing diaries, and booking travel. In support of the CEOs office, you will work closely with the Chief of Staff to encourage collaboration and ensure that all the support to the CEO is aligned, joined up, and the Chief of Staff is kept informed.As an Assistant within the CEOs office, you are to directly offer administrative support to the Chief of Staff, and CEO but not by extension, to the teams beneath. All time must be dedicated to supporting the efficient and smooth organisation of the CEO & his office. It is important for this individual to be highly organised and demonstrate strong time management skills so that priorities across busy schedules can be effectively managed.This is a very important role and as the Assistant to CEOs office will be exposed to highly confidential information it is vital that they can operate with integrity, discretion, and can perform well under pressure and within tight deadlines.
Key Responsibilities
Provide a consistently high standard of administrative support to the CEO Office
Diary management including scheduling various meetings, 1-2-1s and reviews
Preparing itineraries and agendas, as well as coordinating attendees, refreshments, meeting rooms and ensure maximum efficiency
Note/minute taking following important information, and collating actions and keeping logs up to date
Making travel and accommodation arrangements, ensuring efficient use of time and minimal expenditure
Checking in on flights and travel plans to manage cancellations, changes and amendments
Skills, Knowledge and Expertise
Previous experience as a Personal Assistant
Previous experience minuting senior meetings to a high level & at a fast pace
Good knowledge of Microsoft Word, PowerPoint, Excel, and Outlook
High level of confidentiality and integrity
Organised and can effectively coordinate time and priorities across a number of busy schedules
Strong communicator, whether verbally or via written communication.
