As an Executive Assistant you will play an integral role in ensuring the efficient functioning of the office. You will provide crucial support to the CEO and Commercial Finance Director, managing schedules, coordinating meetings, and handling communications with the board and the wider business. Acting as a gatekeeper, you will be prioritising tasks and manage confidential information whilst supporting the CEO and Commercial Finance Director in preparing board packs and research. Simultaneously, you will work closely with the Business Services team on various projects, managing general office administrative tasks, managing suppliers, office health and safety, and coordinating events.

Responsibilities
Provide full EA support and diary management to CEO and Commercial Finance Director with ad-hoc support to the rest of the Board members
Collate, review, and submit papers for senior leadership team meetings
Distribute agenda, take minutes and ensure action has been done following meetings and ensure accurate record keeping
Ad-hoc projects working with the Business Services team
General office management, including office stationery, liaising with suppliers and kitchen stock
Events and travel planning, including booking hotels, flights, and trains for the wider team
Create and maintain office administration processes to ensure efficient and accurate working practices across the business
General office manager duties such as health and safety, stationary, and orders for the office
Being a “go to” person for the wider team on ad hoc queries and tasks.
Qualifications
Excellent communication and organisational skills
Proven track record of working in a similar role
Good problem-solving skills and being able to work independently by taking initiative
Excellent technical skills; event coordination, calendar management, and project management skills
Proficient in Microsoft Office suite
Must have experience working in a recruitment agency
