We are seeking a dynamic and experienced Event Coordinator to lead the planning and execution of corporate events and trade shows both in the UK and internationally. This role encompasses full ownership of events, from selecting venues to defining success metrics, with a strong focus on keeping budgets and timelines in check and will be based in and around Crawley.
Objectives:
Oversee the planning and execution of in-person corporate events and trade shows, ensuring each event is executed flawlessly.
Manage all aspects of events, including budgeting, timeline management, and vendor selection, to deliver exceptional experiences.
Key Responsibilities:
Gain a comprehensive understanding of the requirements for each event and trade show.
Research and select vendors based on creativity, quality, and cost-effectiveness.
Manage all attendee logistics, including accommodation, transportation, customer support, and food & beverage arrangements.
Oversee administrative processes, including contracts, supplier payments, internal approvals, and reporting.
Develop content for event materials and collaborate with graphic designers for production.
Manage the day-to-day operations of events, including order placements, vendor coordination, travel plans, restaurant reservations, attendee engagement, and issue resolution.
Engage with both internal and external stakeholders for seamless event planning, execution, and participation.
Develop and implement comprehensive strategies for each event, in collaboration with team members and cross-functional partners.
Project manage all details to ensure adherence to timelines and achievement of deliverables.
Oversee marketing and creative aspects, including messaging and imagery, for events.
Lead on-site event management from start to finish.
Required Skills and Qualifications:
Proven experience in event planning or coordination within a corporate setting.
Demonstrated ability to organize creative and successful events.
Exceptional organizational, communication, negotiation, and multitasking abilities.
Capability to remain composed under pressure and maintain a focus on customer service.
Bachelor's degree in marketing, communications, or a related field.
Minimum of 3 years' experience in event management, including hands-on experience with corporate event planning and logistics, preferably in the technology or energy sectors.
Self-motivated with excellent problem-solving skills.
Strong project management capabilities with meticulous attention to detail.
Proficiency in MS PowerPoint and MS Excel.
Travel Requirements:
This position requires up to 30% travel, including international trips.
