Tythe is looking for a full-time Event and Wedding Co-ordinator to be responsible for planning and co-ordinating both private and corporate events and weddings at our beautiful Oxfordshire venue set on our working family farm. You will work with our clients to understand their vision and preferences whilst helping to oversee planning details, create timelines and to ensure all details of the event are executed flawlessly. Tythe’s team of co-ordinators are highly organized, detail-oriented, and have excellent communication skills and are expected to communicate effectively with their clients and be able to discuss and help to resolve any issues that may arise during the planning process.We require all of our event co-ordinators to have a strong understanding of the event and wedding industry and to be able to provide guidance and advice to their clients. This is a creative and dynamic role that requires a passion for event planning, a commitment to delivering exceptional customer service and the ability and availability to work ‘event’ hours.Event and Wedding Co-ordinator duties and responsibilitiesMeet with clients to discuss their vision and preferences.Coordinate and manage all aspects of the event or wedding planning process via face-to-face, email and telephone communication.Create and maintain detailed timelines and checklists to ensure all tasks are completed on time.Co-ordinate and oversee all wedding and event day activities, including setup, supplier
arrival/departure/collection
times, ceremony, reception, evening party and breakdown.Ensure that all suppliers are aware of their responsibilities and timelines.Communicate with the event client or wedding party and family members to ensure they are informed and comfortable with the plans.Handle any unexpected issues or emergencies that may arise during the planning process or on the event day.Collaborate and communicate effectively with other event staff, including servers and bartenders, to ensure the seamless execution of the event.Quickly address any issues or challenges that may arise during the event and resolve guest concerns.Provide creative ideas and solutions to make the event or wedding unique and memorable.Ensure that the event runs smoothly and according to the client's vision.Provide excellent customer service and ensure client satisfaction throughout the entire planning process and event.Play a crucial role in ensuring that both the clients and their guests have a positive, stress-free and enjoyable experience.Event and Wedding Coordinator requirements and qualificationsProven work experience as an Event / Wedding Coordinator or similar roleExcellent organizational and time-management skillsAbility to manage multiple tasks and to prioritise effectivelyStrong communication and interpersonal skillsAbility to work well under pressure and meet deadlinesAttention to detail and problem-solving skillsTeam player who communicates well with all colleaguesPunctual, reliable and trustworthyExperience in event planning and within the wedding industryFor weddings – a knowledge of traditions and customsFamiliarity with event and wedding vendors, suppliers and venuesProficient in Microsoft Office and event management softwareAbility to work flexible hours, including early mornings, evenings, weekends and Bank HolidaysWorking knowledge of health and safety guidelines and practices for in-person events.Online Hostology platform event management experience or be tech-savvy and able to pick up new event management platformsDriving Licence and must have access to their own transportFirst Aid certificateThe role would suit someone who is physically fit and strong and enjoys an active element in their workWhat's in it For You?You will join our inclusive, friendly and hard-working team. We offer good rates of pay, contributions towards a pension, paid holiday and are committed to ensuring a happy, fair and supportive environment for all our members of staff. Salary – subject to experienceFull -time (37.5 hour week)To apply or for further details, please contact Enrica Langridge
