The Commercial Assistant performs a variety of administrative duties to support the Commercial Support Team. Ensuring the smooth flow of information and following up any activities related to either the whole yacht charter/sale process: from promotion and marketing to the completion of a charter contract/sale or purchase.
He/She is also in charge of receiving all incoming calls, walk-in clients, other visitors, couriers and other deliveries and ad hoc general office duties.
Main Duties
Keeping up to date all the information of the Brokers’ client portfolios. & charter fleet & public information, such as technical details, photos, sales status, location of central agency yachts
Participate in the Yacht Shows, when required, & open days, with preparation of relevant documentation for each yacht displayed.
Assist internal interlocutors, when required
Following up & keeping a record of all enquiries.
Reception & general office duties (Log and manage enquiries for all sources: web, phone, email, etc.).
Acknowledging & following accurately all the procedures related to contract signing, including gathering documents to comply with due diligence requirements and KYC requirements.
Producing periodic reports.
Prepare Commercial Contracts.
Prepare marketing materials & communicate with Central Agents, external brokers and clients
Organise yacht inspections when required.
Manage Client database and prepare yacht selections and mailings as instructed by Brokers.
Liaise with the Listings department for any update of information.
Prepare draft descriptions for each Central Agency yacht
Knowledge and Experience
Language Skills: English mandatory
Computer Skills: MS Word, Excel, Outlook, Adobe (Basic Photoshop, PDF), Internet.
Experience/ knowledge yachting industry is a plus
Ideally 5 years of experience as an assistant
Qualifications
High School Degree
