You will carry out duties delegated and legal tasks for the Deputy Managing Director / Exec of the group / businesses and to provide additional ancillary support to the group businesses as required / directed. Role Responsibilities Role responsibilities:To include arranging meetings, calls, presentations, conferences, dealing with agendas, meeting packs, due diligence, preparation of documents (legal and administrative) attending meetings to take minutes and liaising with other parties / external clients / providers.Managing information flow in a timely and accurate mannerOrganising and managing office systemsCollating documentation for meetings and circulating agendas in advanceAssisting at client events / meetings, on an ad hoc basisBooking attendance at meetings/conferences/seminars (including travel) and organising trip itinerariesWorking extensively with Shared Services, Management Teams, Business Development, Compliance as required on specific tasks/projectsAssisting with project management by providing administrative assistance as directedAssist with CDD/KYC to include processing conflict checks and due diligence with branchesComplex reporting – e.g., running marketing and financial reports and client reports across the team as requiredHandling telephone enquiries in a professional and polite manner, taking accurate messages and following up on agreed actionSome travel may be required to attend meetings/site officesThis role carries with it a great responsibility to keep all matters dealt with within the executive team highly confidential What we need from you Two or more years’ experience in an administrative role reporting directly to senior managementLegal experience (desirable)Administration/organisational skills with the capacity to pay close attention to detail and ensure all matters are scheduled and deal with within the scheduled periodVerbal communication skills including the ability to communicate with a wide range of people in person and over the telephoneA good working knowledge of the legal sectorCompetent use of Microsoft 365 including Microsoft TeamsAbility to multitask, to organise and prioritise a busy workload and work to tight deadlinesAbility to manage a large workload and prioritiseThe ability to work under pressure and to deadlinesUnderstanding of project managementThorough attention to detailProfessional and friendly demeanourSelf-motivated but able to work as a teamStrong knowledge of all clerical activitiesExcellent customer care and telephone mannerAbility to communicate at all levelsFlexible and consistent while maintaining the confidentiality of high-level systems and operations What we offer you Our Sheffield Head Office, PM House, has been designed to be a high quality and pleasant working environment.
