Apprentice Document Controller

Reporting To Job Title

Lead Document Controller

Purpose

An Apprentice Document Controller will learn to provide administrative support to the site and be responsible for the flow of project documentation.  Working with an experienced document controller they will learn to manage Documentation reliability for Security, Revision control, availability accuracy and auditability to ensure compliance with organisations management processes, quality assurance and ISO requirements.

Specific Responsibilities

DOCUMENT CONTROL DUTIES include but are not limited to

Quality Assurance for All Documentation – Ensuring all information is compliant with company naming conventions and document control protocols
Registering received Information within ULS EDMS where required
Revision and Status control of documentation
Maintaining and ensuring integrity and accuracy of Electronic Documents
Maintaining and ensuring integrity and accuracy of Document Registers
Maintaining and ensuring integrity and accuracy of Electronic and Master Hard copy of documents
Effectively managing the flow of Information and Maintain Document Distribution lists
Monitoring Workflow for Consultant / Design Team Documentation
Monitoring Workflow for approval of Sub Contractor / Supplier Documentation
Ensuring full auditability of approval process for Sub Contractor / Supplier Documentation
Managing and Maintaining Project Directory within EDMS
Generating Reports within EDMS for project as required.
Accurate Retrieval of information
Coordination of Information for Operation and Maintenance Manuals and Project Handover, Both Electronic and Paper files where required
Assisting with other projects and duties as requiredADMINISTRATIVE DUTIES include but are not limited to

Providing Secretarial and Administrative Support to Site Personnel
Ordering Stationary and General Office Supplies
Uploading of Daily Diaries and Other forms required by Central Office
Monthly reports as required

Qualifications

An apprentice document controller will  be required to develop the following skills and qualities:

Detail orientated and able to work with high volume and variety of documents
Highly organised and process orientated.
Customer focus
Strong Oral and Written Communication Skills
Able to work independently and in a team environment
Able to prioritise workload, work under pressure and within specified deadlines
Self-Motivation, Self-Auditing and have high quality standards
IT skills – ie Word, Excel
