£22k (FTC – 12 Months Maternity Cover)
This Bradford based charity offers a safe haven for victims of Domestic Violence and Homelessness. This incredible, well-established charity has grown, providing a comprehensive re-settlement service to all its residents.
An opportunity has arisen for an Administrator/Personal Assistant to work a 35-hour week, reporting to the Service Manager for a 12-month fixed term contact covering Maternity leave.
You will play an integral part of the business, responsible for the day-to-day organisation of Charity, working closely with the Head of Service, Senior Finance Officer, and CEO
This role requires an Enhanced DBS.
The role:
· Provide assistance to the Chief Executive, organising meetings, appointments and liaising with the management team when requesting information/reports/performance data within strict deadlines.
· Assisting in the analysis of data/information.
· Typing emails, letters, and reports in a professional manner.
· Responsible for the ordering and maintaining of office supplies (cost effective items).
· Providing administrative support to the team, including typing up of supervision notes and other documents as requested by the Head of Service and Service Managers.
· Ensure daily upkeep of records and systems.
· Assist the Chief Executive in preparing meeting reports and information for internal and external meetings.
· Attending meetings (via Zoom) accurately taking of minutes and then preparing notes and circulate to attendees.
· Ensure ID cards for new staff are prepared and issued.
· Assist in the planning and organisation of Annual General Meetings, including preparing articles for the annual review report, venue, catering, attendees, and speakers.
· Analysis of reports from completed questionnaires, assisting Head of Service in drawing up action plans.
· Attending 6 weekly Management Meetings, taking minuets, and distributing to Trustees.
· Oversee staff absences and report to Service Managers.
· Negotiate contracts for staff phones, photocopier etc.
· Organise quarterly in-house training and development days.
· Provide cover on the Duty Admin Desk as and when required.
· Assist in Bradford Quality Assessment Framework reviews/visits/meetings.
· Assist with the accreditation process in Investors in People.
· Dealing with utility companies, querying discrepancies, ensuring budgets adhered to.
· Sourcing accurate meter readings from staff.
· Dealing with council tax queries/issues.
· Maintaining accurate records of expenditure.
· Provide rent reconciliation officer with Payments, Financial Info and Data input into QuickBooks.
· Verifying service charge payments.
· Assisting Senior Finance Officer, preparing monthly rental income reports for CEO/Trustees.
Experience:
· Fully proficient in Microsoft Office, Including Excel Spreadsheets.
· Preferable experience in QuickBooks.
