Job Title: Administrative Assistant  with Construction Experience



Location: Portsmonth



Salary:£25,000 - £30,000





Job Description: We are looking for a detail-oriented Administrative Assistant with experience in the construction industry to support our team. The ideal candidate will have strong organizational skills, a solid understanding of construction processes, and the ability to manage multiple tasks efficiently.



Key Responsibilities:





  • Administrative Support:




    • Provide administrative support to the construction team, including scheduling meetings, managing calendars, and handling correspondence.

    • Prepare and maintain project documentation, including contracts, permits, and reports.

    • Assist with the preparation and tracking of project budgets and expenses.

    • Coordinate travel arrangements and logistics for construction team members.




  • Communication:




    • Act as a liaison between the construction team, clients, subcontractors, and suppliers.

    • Handle phone calls, emails, and other communications in a professional and timely manner.

    • Prepare and distribute meeting agendas, minutes, and follow-up action items.




  • Document Management:




    • Maintain organized and up-to-date filing systems for all project-related documents.

    • Ensure all project documentation complies with company standards and regulatory requirements.

    • Assist in the preparation of presentations, proposals, and other project-related materials.




  • Project Coordination:




    • Support the project managers in tracking project timelines and milestones.

    • Assist in coordinating project activities and ensuring all deadlines are met.

    • Monitor inventory levels and order construction materials as needed.





Qualifications:




  • Proven experience as an administrative assistant, preferably in the construction industry.

  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Excellent organizational and multitasking abilities.

  • Strong communication and interpersonal skills.

  • Attention to detail and a high level of accuracy.

  • Ability to work independently and as part of a team.

  • Familiarity with construction terminology and processes is a plus.
